Paralegal
Job Summary:
Paralegal provides paralegal and administrative support to in-house counsel to enable timely, organized, and compliant legal service delivery across the organization. The role supports core legal processes, including contract and matter coordination, document preparation, and basic legal research. Paralegal also maintains legal records and retention practices, supports corporate governance administration, and coordinates contractor licensing and other compliance-related filings. The role reports to the Paralegal Supervisor and works closely with attorneys, business stakeholders, and other members of the Legal Department.
Essential Duties and Responsibilities
- Support in-house counsel by coordinating and delivering paralegal assistance across key practice areas, including contracts, litigation, corporate governance, compliance, intellectual property, and licensing.
- Maintain and organize legal files, databases, and document management/retention systems in accordance with company policies and confidentiality requirements.
- Coordinate ongoing licensing, registrations, and routine compliance filings by tracking deadlines, preparing submissions, and maintaining supporting documentation.
- Coordinate and oversee the records retention program, including applying retention schedules, supporting legal holds as directed, and facilitating disposition of records in accordance with policy.
- Support legal department initiatives, process improvements, and special projects by coordinating tasks, tracking status, and maintaining deliverables.
- Coordinate audit responses and government surveys by collecting information, consolidating documentation, and tracking submissions and deadlines.
- Support corporate governance administration, including maintaining entity records (e.g., minute books and governance databases) and coordinating routine updates and filings.
- Protect confidential, sensitive, and privileged information by following document handling, access, and retention requirements at all times.
- Prepare, proofread, and assemble legal documents and correspondence, including contracts, discovery responses, legal memoranda, and related materials.
- Manage day-to-day requests for information and assistance directed to the Legal Department by triaging inquiries and routing matters to appropriate team members.
- Conduct basic legal and factual research as requested and compile reference materials and summaries for the legal team.
- Provide administrative support to the Legal Department, including scheduling, meeting coordination, invoice or expense processing support (as assigned), and maintenance of shared resources.
Minimum Experience, Skills and Education Required:
- 4-6 years of paralegal experience in a law firm or corporate legal department supporting attorneys on matters such as contracts, compliance, and/or litigation.
- Experience with records retention/document management, corporate governance administration, and ongoing licensing/registration tracking and routine filings.
- Excellent organizational skills with the ability to manage multiple matters simultaneously.
- Excellent verbal and written communication skills.
- High attention to detail and strong analytical skills.
- Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
- Ability to work independently while also collaborating effectively within a team environment.
- Ability to work in a fast-paced environment and meet tight deadlines.
- Demonstrated ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office applications including SharePoint.
- Knowledge of Adobe Acrobat and LexisNexis
- Associates Degree required
- Proficiency in the Japanese language and/or Spanish language is beneficial but not required.
Professional Licenses, Accreditations and Certifications
- Paralegal Certificate from an ABA approved program
