JOB SUMMARY:

The City of Vestavia Hills is seeking a motivated Parks and Leisure Services Assistant Director to assist with the administration and operational oversight of the Parks and Leisure Services Department. Responsibilities include supporting personnel management, recreational programming, senior services, memberships and registrations, special events, customer service, community partnerships, and financial administration. The incumbent serves as the Director’s primary assistant, supervises staff, supports strategic initiatives, and helps ensure the effective delivery of programs and services to residents.

$89,689 - $139,152

MINIMUM QUALIFICATIONS:

The following are job-related qualifications that are required for employment consideration for this position:

  • Driver’ license

  • Bachelor’s degree in Recreation Management, Sports Administration, Public Administration, Physical Education (or a related degree that includes coursework in business, or accounting, or management, program/event planning, legal issues, and leisure/athletics).

  • Experience supervising entry and professional level employees which includes planning and assigning work, delegating tasks, reviewing work, providing disciplinary measures, coaching and training employees, and conducting performance appraisals.

  • Experience coordinating recreational operations of park and recreation facilities and or athletic programs/events (e.g., recreational centers, sports complexes, swimming pools, parks, athletic tournaments, event facilities, etc.), which includes responsibility for recreational programs and activities, negotiating contracts, and marketing recreation/athletic programs.

  • Experience assisting with budget preparation and administration, such as researching vendors, obtaining price quotations, gathering cost information, and submitting budget requests for equipment, supplies, programs, events, and operational needs.

TYPICAL JOB DUTIES:

  • Department Operations Management: Assists the Director with managing the daily operations and administrative functions of the Parks and Leisure Services Department to support efficient departmental operations and service delivery.

  • Staff Supervision and Coordination: Supervises departmental personnel, including coordinators, event planners, administrative staff, maintenance personnel, and senior services staff, by assigning work, monitoring performance, providing guidance, and supporting operational needs.

  • Facility Operations Oversight: Oversees operations and maintenance coordination for parks, recreational facilities, and departmental properties to ensure facilities are safe, functional, and properly maintained.

  • Customer Service and Registration Coordination: Coordinates memberships, registrations, front desk operations, and customer service activities related to departmental programs and services to support resident participation, efficient operations, and positive customer experiences.

  • Financial and Purchasing Administration: Assists with departmental financial administration by coordinating receivables, payables, purchasing activities, and budget-related processes in collaboration with the Finance Department and administrative staff.

  • Senior Services Program & Partnership Coordination: Oversees senior programming and services for the city by supervising senior services staff; coordinating activities, wellness initiatives, community engagement opportunities, and partnerships; and supporting programs such as Silver Sneakers, senior luncheons, senior trips, Meals on Wheels, Senior Masters Games participation, and related initiatives.

  • Community and Organizational Liaison Activities: Serves as a liaison with community organizations, vendors, contractors, athletic associations, and partner agencies to coordinate recreational, wellness, athletic, and community programs and activities.

  • Recreation and Community Event Coordination: Assists with the planning, development, and implementation of recreational programs, citywide events, festivals, concerts, arts and crafts activities, athletic programs, and other community engagement initiatives.

  • Marketing and Communications Coordination: Collaborates with staff and marketing personnel to develop and distribute departmental publications, promotional materials, and activity guides to communicate program offerings, services, and community events.

  • Operational Planning and Process Improvement: Monitors departmental operations and programming activities to identify opportunities for process improvements, operational efficiencies, enhanced community services, and new programming initiatives, and assists with developing operational plans, procedures, and recommendations to support departmental goals and service delivery.

  • Public and Stakeholder Relations: Responds to questions, concerns, and requests from residents, staff, vendors, and community stakeholders regarding departmental operations, programs, services, and facilities.

  • Professional Development and Training: Attends meetings, conferences, workshops, and training programs to maintain current knowledge of parks, recreation, senior services, and community programming practices.

PHYSICAL DEMANDS:

Job is primarily sedentary involving sitting for long periods of time. At times, job may require light to moderate physical exertion, including lifting, carrying, bending, stooping, kneeling, crouching, or twisting. Job may also involve occasional lifting of items or objects weighing up to 50 lbs.

WORK ENVIRONMENT:

Work Environment
Work is conducted both indoors in an office setting as well as regular field visits to outdoor worksites. Incumbents may be required to work nights and/or weekends. Job may include exposure to potentially hazardous working conditions (e.g., moving vehicles, biological and/or chemical hazards, etc.). Job may also require exposure to inclement weather when working outdoors (e.g., extreme heat, cold, rain, snow, wind, etc.).
