Summary:
WAMU 88.5 is a public media station owned and operated by American University. WAMU is the source for local, regional and NPR news and original programs in Washington DC. Since 1961, WAMU has been amplifying voices and sharing stories from the many neighborhoods and communities in the District of Columbia, Maryland and Virginia.
The Part-Time Business Administrative Support role is the first person a visitor encounters when visiting WAMU and is on call on an as needed basis as back up for the Operations Coordinator. The ideal person for this job must have excellent interpersonal skills to ensure visitors have a good first impression and feel welcome. This role answers the phone and responds to correspondence in a friendly and timely manner.
The successful incumbent is required to be aware of all WAMU station activities. They will be asked to answer many general inquiries about WAMU and direct the public to the proper department and/or person for specific follow-up.
In addition to answering the phones and responding to general inquiries through various platforms, the candidate will be responsible for: 1) greeting and processing visitors, 2) ensuring that guest consent forms are signed and properly filed, 3) work closely with the WAMU Audience Engagement team to maintain talking points on station-related matters, 4) maintaining the first-floor pantry inventory of refreshments for guests and visitors, 5) ensure that the reception area and mailroom are kept clean and in order, and 6) sort incoming mail and packages for the station.
Essential Functions:
1.) Front Desk Reception
Responsible for managing the reception desk by greeting visitors, ensuring guest consent forms are signed, and providing general information to the public via phone, email, and social media. Answers the main station phone line and directs calls to appropriate department staff. Works closely with the Marketing and Brand Engagement department to maintain updated talking points on station related matters. Responsible for responding to listener feedback emails and assists Development Operations Associates in handling donor and listener email responses.
2.) Mail Services
Sorts incoming and outgoing mail for the station into appropriate staff mailboxes. Signs for package and parcel deliveries from AU mail services, US Postal Office, UPS, FedEx and couriers. Makes daily rounds with urgent delivery items. Maintains the mailroom by ensuring it is organized, clean and all mailbox assignments are up to date. Acts as the liaison between other AU tenants (DAR and UCM) and WAMU to ensure mail is delivered timely and accurately to all floors of the building.
3.) General Station Support
Makes outbound thank you phone calls to donors after on-air campaigns. Incumbents may also write thank you letters to donors. Coordinates with Operations Coordinator to order and maintain station-wide office and coffee supplies of all departments and assists in the distribution of supplies. Maintains inventory and replenishes refreshments for guests and studio clients. Supports the Operations Coordinators as necessary with station events and urgent situations such as inclement weather arrangements for essential broadcast staff.

Position Type/Expected Hours of Work:
Part-time.
10 - 20 hours per week.
Schedule: Monday to Friday.
On-site work required.
This will be an American University hire, requiring residency in the DMV.
Salary Range:
$22.86 - $23.00 per hour.
Required Education and Experience:
High school diploma or equivalent.
Less than 1 year of relevant experience.
Previous front desk experience in a professional office environment.
Ability to communicate effectively with individuals of all professional levels.
Basic knowledge of Microsoft Word, Excel, Outlook, and Power Point.
Strong interpersonal skills.
Preferred Education and Experience:
1 - 3 years of relevant experience.
