People Operations Support Specialist

E-Space is growing rapidly and the People function is scaling with it. As headcount increases across multiple US states and international locations, we need dedicated operational ownership of the back-office HR infrastructure that makes everything else work. This role owns the more complex, compliance-heavy domain: the systems and processes that sit underneath the employee experience and that need to be accurate, timely, and audit-ready.

This is a new role on the People team, based in Arlington, TX alongside our current People Operations Support Specialist. Together, the two roles form the operational backbone of the People function, each with a distinct remit. The specific portfolio for this role will include: benefits administration, payroll coordination, immigration, compliance reporting, compensation administration, and state agency management for leaves and payroll tax and workers compensation administration.

You will work closely with Finance, external counsel, and benefits and insurance brokers, and support the Head of People on benchmarking, reporting and compliance filings. You will not have a formal client-facing HR remit, as this is an operations and systems role, but you will need to be comfortable navigating complexity, managing competing deadlines, and building process in an environment that is still maturing.

What you will do

  1. Benefits Administration (25–30%)
  • Administer employee benefits programs including new hire enrollment, qualifying life events, eligibility tracking, and corrections.
  • Support employees with benefits questions and enrollment processes.
  • Maintain accurate benefits data across all systems and carriers.
  • Partner with brokers and carriers to resolve benefits-related issues and discrepancies.
  • Lead open enrollment planning, execution, and employee communications.
  • Support the Finance team to reconcile carrier invoices and coordinate payments.
    1. Payroll Administration & State Agency Management (25–30%)
    • Own payroll input preparation and coordination with Finance to ensure accurate, timely payroll processing across all US entities.
    • Manage state agency correspondence including unemployment claims (EDD, TWC), employment verification requests, and responses to state-initiated inquiries.
    • Maintain accurate records of payroll changes, adjustments, and history.
    • Identify and resolve payroll discrepancies in partnership with Finance and the HRIS.
      1. Compliance Reporting & Documentation (15–20%)
      • Support the Head of People in preparing and submitting recurring compliance filings (EEO-1, VETS-4212, ACA, and other applicable State and Federal reports).
      • Maintain accurate digital personnel files and ensure documentation is completed and properly stored.
      • Track compliance training completion, policy acknowledgments, and required certifications.
      • Support audit readiness by maintaining data accuracy and preparing documentation on request.
        1. HR Operations & Continuous Improvement (5–10%)
        • Own and improve HR Operations workflows within your remit, maintaining clear process documentation.
        • Identify and flag operational gaps or process inefficiencies, and recommend practical improvements.
        • Collaborate with the People Operations Support Specialist and People Partners through the ticketing system to fulfil data and reporting requests.
        • Support the broader People team on projects and systems implementations as the company scales.
          1. Immigration Administration (5–10%)
          • Manage routine immigration case tracking for US work authorization processes (H-1B, OPT/STEM OPT, TN, green card support) in coordination with external immigration counsel.
          • Maintain accurate immigration records and track key deadlines and renewal timelines.
          • Serve as the internal point of contact for immigration-related queries, escalating complex matters to counsel and the Head of People.
            1. Compensation Administration Support (10–15%)
            • Maintain benchmarking data and offer range lookups to support the recruiting and People Partner teams.
            • Track and maintain the company's compensation data in the HRIS and associated tools.
            • Provide administrative support for the job leveling framework rollout and ongoing maintenance, working closely with the Head of People.

What you bring to this role

  • 2-3+ years of experience in HR operations, total rewards administration, or a related field with meaningful exposure to payroll, benefits, and/or compensation.
  • Solid understanding of US benefits administration and open enrollment processes.
  • Familiarity with payroll coordination in a multi-state environment; experience managing state agency correspondence (EDD, TWC, EEOC) strongly preferred.
  • Working knowledge of US immigration processes or demonstrated ability to manage complex compliance workflows with external counsel.
  • Strong attention to detail and a high standard for data accuracy: you understand that errors in this domain have real consequences.
  • Ability to manage multiple concurrent workstreams and deadlines without dropping the ball.
  • Comfortable building and improving processes in an environment that is still maturing; not reliant on established infrastructure.
  • High level of discretion when handling sensitive compensation, payroll, and personnel data.
  • Experience with HRIS platforms required; Rippling experience strongly preferred.
  • Experience supporting a federal contractor or regulated environment is an advantage.
This is a full time, exempt position, based out of our Arlington, TX office.
The total compensation package will be determined by various factors such as your relevant job-related knowledge, skills, and experience.
