Personal Assistant

This role may require a reasonable amount of local travel and external errands as needed.

  • Assist with the Principal's day-to-day personal affairs, including but not limited to scheduling, appointments, dining arrangements, transportation, document delivery, and other ad hoc matters.
  • Coordinate travel arrangements, including flights, hotels, ground transportation, visas, insurance, and related logistics, ensuring smooth and seamless travel experiences.
  • Liaise with external service providers, including housekeeping staff, property management offices, drivers, schools, banks, and other relevant parties.
  • Track and follow up on personal and family-related matters, providing timely updates and resolutions.
  • Handle daily purchasing requests, including gifts and other personal procurement needs.
  • Assist with reimbursements, payment records, and expense tracking.
  • Support the planning and execution of private gatherings, business dinners, and family activities.
  • Coordinate venues, catering, vendors, and event logistics.
  • Maintain organized records of personal contacts, vendors, and other relevant information.
  • Strictly adhere to confidentiality requirements and handle personal and sensitive information with discretion.
  • Respond promptly and effectively to ad hoc assignments and urgent requests from the Principal.
  • Independently assess priorities and manage unexpected situations with flexibility and professionalism.

Qualifications & Requirements

  • 2-5 years of prior experience as an Executive Assistant, Personal Assistant, Lifestyle Assistant
  • Flexible and willing to accommodate occasional irregular working hours and urgent requests.
  • Proficient in both English and Chinese, with strong verbal and written communication skills.
  • Experience supporting high-net-worth individuals, entrepreneurs, senior executives, or family offices is highly preferred.
  • Familiarity with local lifestyle and service resources, including healthcare, education, property management, dining, transportation, and event planning.
  • Mature, emotionally intelligent, professional, and capable of building and maintaining long-term working relationships.
  • Strong problem-solving skills, with the ability to drive outcomes effectively even when information is incomplete.
