Personal Assistant
SUMMARY
A highly organized and proactive Assistant to the Senior Executive Assistant providing critical administrative and operational support to ensure the smooth functioning of executive-level activities. This role involves managing complex calendars, coordinating travel and meetings, preparing high-level correspondence and reports, and acting as a liaison between senior management and internal/external stakeholders. With strong attention to detail, discretion, and a solutions-driven mindset, the assistant ensures the Senior Executive Assistant is well-supported in delivering timely and efficient service to the senior management team.
ROLES & RESPONSIBILITIES
- Administrative support to Senior EA in managing office tasks
- Manage and organize calendars, appointments, meetings
- Managing travel arrangements – flight, Hotel booking, itinerary planning, visa, transportation, travel expenses reimbursements, etc.
- Maintaining confidentiality of sensitive information and handling sensitive tasks with discretion
- Maintain filing systems, both digital and physical
- Perform data entry, research tasks, and follow-ups
- Assist with project coordination and follow-ups as required
- Monitor deadlines and ensure timely completion of tasks
- Run errands and manage personal tasks as directed
REQUIREMENTS
- Minimum Diploma Business Studies, etc or related fields
- Ability to multi-task and adapt in a fast-paced environment
- MS Office - Word, Excel, PowerPoint and Outlook
- Tech-savvy with the ability to learn new software quickly
