Personal Assistant

SUMMARY

A highly organized and proactive Assistant to the Senior Executive Assistant providing critical administrative and operational support to ensure the smooth functioning of executive-level activities. This role involves managing complex calendars, coordinating travel and meetings, preparing high-level correspondence and reports, and acting as a liaison between senior management and internal/external stakeholders. With strong attention to detail, discretion, and a solutions-driven mindset, the assistant ensures the Senior Executive Assistant is well-supported in delivering timely and efficient service to the senior management team.

ROLES & RESPONSIBILITIES

  • Administrative support to Senior EA in managing office tasks
  • Manage and organize calendars, appointments, meetings
  • Managing travel arrangements – flight, Hotel booking, itinerary planning, visa, transportation, travel expenses reimbursements, etc.
  • Maintaining confidentiality of sensitive information and handling sensitive tasks with discretion
  • Maintain filing systems, both digital and physical
  • Perform data entry, research tasks, and follow-ups
  • Assist with project coordination and follow-ups as required
  • Monitor deadlines and ensure timely completion of tasks
  • Run errands and manage personal tasks as directed

REQUIREMENTS

  • Minimum Diploma Business Studies, etc or related fields
  • Ability to multi-task and adapt in a fast-paced environment
  • MS Office - Word, Excel, PowerPoint and Outlook
  • Tech-savvy with the ability to learn new software quickly
