Job Summary:

Join HUB24 as a Portfolio Administrator (fixed-term contract) and be part of our high-performing Portfolio Administration Services (PAS) team, supporting the continued growth of our non-custody business.

Based in our Melbourne CBD office, this role offers the flexibility to work from home up to three days per week.

In this role, you’ll play a hands-on part in delivering seamless portfolio administration, managing daily operations, reconciliations, and tax reporting - while ensuring a consistently high standard of client service. You’ll also have the opportunity to contribute to process improvements and help shape more efficient, scalable portfolio operations as the business continues to grow.

Responsibilities:

  • Deliver high-quality client service, acting as a key point of contact for portfolio administration queries

  • Execute daily portfolio administration tasks, including transaction processing and reconciliations

  • Support cost base and income reconciliations, CGT reconstructions, and tax reporting activities

  • Investigate and resolve client and operational issues in a timely manner

  • Liaise with internal teams and external providers to ensure accurate and timely service delivery

  • Process client trade instructions and manage related queries

  • Maintain strong relationships with clients and stakeholders

  • Identify process improvements and contribute to operational efficiency initiatives

  • Ensure compliance with internal policies and regulatory requirements

Requirements:

  • Experience within the financial services industry

  • Strong organisational skills with the ability to prioritise and meet deadlines

  • Excellent communication and relationship management skills

  • Ability to work both independently and collaboratively within a team

  • Strong attention to detail with analytical and problem-solving capability

  • Intermediate Microsoft Office skills (Excel, Outlook, Word)

  • Understanding of portfolio administration concepts (desirable)

  • Experience with IRESS/IPS systems (desirable)
