Procurement Agent
The Procurement Agent is responsible for managing the full procurement lifecycle for project materials and equipment, including forecasting needs, developing and evaluating bids, executing purchase orders, expediting deliveries, and coordinating commercial and technical documentation. This role works closely with Engineering, Project Management, Construction Management, vendors, and site personnel to ensure timely, accurate, and cost‑effective procurement in support of project execution. The Procurement Agent also maintains procurement records, supports invoice verification, and ensures proper documentation and workflow coordination across departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Evaluate project schedules and initiate procurement activities to meet deadlines.
- Develop Procurement Schedule and execute procurement scope based on project needs
- Create requests for quote, gather and evaluate bids to maximize value to BETA, and execute purchase orders to the successful bidder.
- Confirm commercial details of vendor order acknowledgements and ensure technical reviews are completed as needed.
- Manage the purchase order process from initial request through final closeout.
- Coordinate with Engineering, Project Management, Construction Management, and vendors to bid out, purchase, and receive required materials.
- Coordinate with vendors and Engineering during the creation and review of material descriptions and vendor approval drawings.
- Expedite major equipment and materials to ensure procurement timelines are met.
- Build and maintain professional relationships with site personnel, project teams, material suppliers, and vendors.
- Understand how procurement activities impact other departments and collaborate cross‑functionally to resolve issues in the best interest of the company.
- Sort and code invoices following verification and receipt of materials.
- Create receivers for site personnel and track all required drawings, O&M manuals, and test reports associated with purchase orders.
- Work with confidential information and ensure its security at all times.
- Perform other duties as requested by the Job Cost Controller, Project Manager, Project Coordinator, Construction Manager, and/or the Financial Team.

- Maintain a clean driving record, as operating company vehicles is required for the position.
EDUCATION AND EXPERIENCE:
- Associate degree in Supply Chain, Business Administration, or a related field preferred; A high school diploma with two or more years of professional procurement or purchasing experience will be considered.
- Three to five years of experience in purchasing, procurement, or supply chain required;
experience in a project‑based or construction/engineering environment is preferred. - Proficiency with Microsoft Excel, Word, Outlook, and Adobe Acrobat required.
- Experience with ERP or procurement systems (e.g., SAP, Oracle, NetSuite, Viewpoint Spectrum) is preferred.
- Familiarity with data analytics tools and electrical materials is considered a plus.
WORKING CONDITIONS:
- Will work in an office environment with minimal exposure to dust, noise, and other environmental hazards. May involve prolonged periods of sitting and frequent use of a computer, keyboard, and mouse
- Able to lift 50 pounds.
- Use of company vehicle, on occasion. A successful Motor Vehicle Report (MVR) is required.
