Procurement Coordinator (Remote)
Business Unit Mission:
The Procurement Coordinator is responsible for securing external fieldwork partners for quantitative and qualitative projects, for HCP and Patient projects. They will assist the Project Assistants/Coordinators, Fieldwork Team and Project Managers in ensuring the projects are delivered in accordance with the specifications, budget, and timelines given by our clients.
This position is ideal for a candidate who is a strong multi-tasker, enjoys building partnerships with vendors, is budget conscious, and enjoys a fast-paced environment.
Essential Duties and Responsibilities:
Including, but not limited to the following:
- Candidate will work closely with Project Management, Fieldwork, and Custom Recruitment teams to meet project needs for various methodologies and markets.
- Gather feedback, costs, and feasibility from external fieldwork partners
- Negotiation of partner costs in line with project budgets
- Responsible for reviewing projects before setting up external fieldwork partners, to ensure that all internal fieldwork strategies have been explored, and budget permits additional project costs.
- Candidate is responsible for recording the partners’ costs at commissioning in M3 cost tracking system.
- Prepare external fieldwork partners costs in a timely manner to ensure that the projects are completed within timelines stipulated by the client and introduce them to the Fieldwork Coordinator or Project Manager.
- Work with the internal teams on backup plans when external partners are not able to reach their target for a project.
- Communicate effectively with external partners and internal teams, including and feedback.
- Negotiate cost adjustments as needed based on performance or changes in field.
- Monitor costs and performance of external partners over time to develop priority based on cost efficiency and feasibility.
- Monitor and adhere to ISO requirements for partner compliance. Assist with compliance documentation and audits as needed
- When required, attend internal kick off calls to align partner expectations
Education and Training Required:
- Bachelor’s degree or equivalent preferred
Minimum Experience:
- 1-2 year of market research experience or procurement
Knowledge, Skill, Ability:
- Exceptional written and verbal communication skills, with demonstrated knowledge of English grammar rules
- Strong Microsoft Office skills (Excel) and quick learner of new technologies/software
- Must have basic math skills, with the ability to calculate incidence rate, response rates profit, etc
- Interest / natural curiosity or previous experience /exposure within the healthcare space
- Exhibit strong critical thinking skills and take initiative to improve skills and troubleshoot proactively with PM using all available resources to support project success
- Ability to work autonomously and in a team environment to successfully meet study specific and departmental objectives.
- Self-motivated and able to (re)prioritize tasks throughout the workday
- Exceptional time management, organizational skills, attention to detail and ability to multitask
