What are Trust Fund Positions?
Trust Fund positions are unique to the Smithsonian. They are paid for from a variety of sources, including the Smithsonian endowment, revenue from our business activities, donations, grants and contracts. Trust employees are not part of the civil service, nor does trust fund employment lead to Federal status. The salary ranges for trust positions are generally the same as for federal positions and in many cases trust and federal employees work side by side. The Product Manager, ERP & Business Intelligence, serves as the primary business-facing owner of Smithsonian Enterprises’ Microsoft Dynamics 365 (D365) platform and business intelligence ecosystem.
This role is accountable for defining and delivering a cohesive product strategy that connects ERP functionality with data, reporting, and analytics to drive measurable business outcomes. The Product Manager works closely with business stakeholders, technology, and external partners to ensure that the platform supports operational efficiency, informed decision-making, and revenue growth.
Operating within a product-based delivery model, this role owns the product roadmap, backlog, and intake process, ensuring alignment with strategic priorities, enterprise standards, and compliance requirements.
Product Strategy and Roadmap
- Own and maintain a rolling D365 ERP and intelligence product roadmap aligned to business priorities and measurable outcomes
- Define and track success metrics, including adoption, reporting utilization, and business impact
- Maintain a single, prioritized backlog covering ERP enhancements and reporting deliverables
- Lead intake and prioritization processes, presenting trade-offs based on value, risk, and effort
- Ensure alignment between product investments and organizational strategy
Business Engagement
- Serve as a trusted advisor and internal subject matter expert to stakeholders, identifying opportunities to improve processes and outcomes
- Translate business needs into functional requirements, user stories, and reporting specifications
- Define KPIs, metrics, and reporting needs that support decision-making
- Document current-state and future-state processes, including data and reporting touchpoints
- Build and maintain a reporting catalog aligned to business processes and priorities
ERP and Analytics Delivery
- Partner with Engineering to deliver ERP and BI solutions that meet business needs
- Support backlog refinement, planning, and release activities within an agile delivery model
- Validate that delivered solutions meet defined requirements and business objectives
Data and Reporting Strategy
- Define the functional vision for enterprise reporting and analytics
- Ensure ERP configurations support downstream reporting and data integrity
- Advocate data quality at the source and alignment with KPI definitions
- Lead the transition from legacy reporting to modern BI platforms
- Promote a data-informed culture across business stakeholders
Governance, Risk, and Compliance
- Ensure solutions align with internal controls, audit requirements, and segregation of duties principles
- Support compliance requirements including financial controls and relevant regulatory considerations
- Partner with infrastructure and security team to ensure appropriate governance is embedded in solutions
Testing, Quality, and Release Management
- Define user acceptance testing scenarios aligned to real business processes
- Coordinate testing activities with business stakeholders
- Ensure accuracy of data across ERP and reporting outputs
- Support regression testing and platform updates
Stakeholder Engagement and Adoption
- Build strong relationships with business stakeholders across all units
- Drive adoption of ERP and reporting solutions through training and engagement
- Monitor usage and adoption metrics to ensure value realization
- Communicate product priorities, progress, and outcomes clearly to leadership
Change Management
- Develop and execute change management strategies to support ERP and reporting solution rollouts.
- Partner with business stakeholders to assess organizational readiness and change impacts across functions.
- Design communication, training, and support plans to drive adoption of new processes and technologies.
- Collaborate with project teams to integrate change management activities into delivery timelines.
- Monitor adoption metrics and feedback to refine implementation and improve user experience.
- Champion continuous improvement by embedding change management practices into product lifecycle management.
Enterprise Alignment
- Partner with enterprise to ensure alignment with data, integration, and platform strategies
- Ensure product decisions adhere to enterprise standards and long-term technology direction
- Coordinate with adjacent product and platform teams to ensure consistency and scalability
- Partner with business units to establish and maintain SOPs and workflows that standardize ERP and reporting processes across the enterprise
Education and Experience:
Bachelor’s degree (BS) from a four-year college or university in Computer Science, MIS, or a related field and/or 5-7 years related experience preferred, or equivalent combination of education and experience.

Experience required for this position is as follows:
- 3 or more years of hands-on experience with D365 Finance and Operations (F&O)
- 5 or more years defining ERP and business intelligence requirements, KPIs, and reporting solutions
- Experience in product management, business analysis, or functional consulting in an enterprise environment
- Experience operating within a product-based delivery model (Agile or similar)
- Strong functional knowledge of D365 F&O
- Proven ability to translate business needs into functional requirements and solution designs
- Experience managing a backlog and prioritizing work based on business value
- Strong understanding of ERP delivery and implementation methodologies
- Experience working with consulting partners and managing delivery outcomes
- Microsoft certification in D365 F&O or related discipline
- Experience with D365 Lifecycle Services and platform update processes
- Familiarity with Power BI and modern BI tools from a product ownership perspective
- Experience with enterprise data platforms or data architecture concepts
- Familiarity with Power Platform
- Experience in retail, cultural institutions, government, or nonprofit environments
- Understanding of payment systems and compliance frameworks
