Project Admin
Job Description & Requirements
- Act as the main point of contact between the project team and the project site
- Ensure that all project tasks are completed on time, within budget, and to the required quality standards
- Develop and maintain project plans, schedules, and budgets
- Monitor and report on project progress to the project team, site management, and upper management
- Coordinate with site personnel to obtain necessary permits, approvals, and other project-related documentation
- Facilitate communication between project team members, site personnel, upper management, and other stakeholders
- Manage project documentation and ensure that all project files are up-to-date and accessible
- Develop and implement project policies and procedures as needed
- Ensure that all project-related activities comply with relevant regulations, standards, and best practices
- Provide administrative support to the project team and upper management as needed
Tasks
- Schedule and attend project meetings
- Take meeting minutes and distribute to attendees, including upper management
- Draft and distribute project-related communications (e.g., progress reports, status updates) to upper management
- Coordinate and track project-related expenses and invoices, and provide regular reports to upper management
- Develop and maintain project-related databases and other tools, and provide access to upper management as needed
- Coordinate travel arrangements and accommodations for project team members and upper management
- Order and maintain office supplies and equipment as needed
- Assist upper management with any other tasks or projects as needed
