Project Administrator

Key Responsibilities

  • Manage daily administrative and project coordination tasks to ensure smooth operations and timely delivery
  • Prepare accurate quotations, proposals, tender submissions, and related documentation to support business development
  • Track tender opportunities and coordinate submission requirements to maximize bid success
  • Support sales activities by managing client correspondence, preparing proposals, and conducting timely follow-ups
  • Coordinate project schedules, meetings, site visits, and resource allocation to optimize project execution
  • Monitor project progress and proactively follow up with clients, suppliers, and internal teams to resolve outstanding issues
  • Perform basic accounting tasks including invoicing, payment tracking, expense claims processing, and document filing to maintain financial accuracy
  • Maintain comprehensive project records, contracts, reports, and databases for effective information management
  • Prepare management reports, meeting minutes, and project status updates to facilitate informed decision-making
  • Provide general administrative support to management and project teams to enhance operational efficiency

Preferred Competencies and Qualifications

  • Diploma or equivalent qualification in Engineering, Business Administration, Accounting, Project Management, or related field
  • Familiarity with tender submissions and basic accounting processes
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
  • Strong organisational skills with keen attention to detail
  • Effective communication and follow-up skills
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment
