Project Administrator
Key Responsibilities
- Manage daily administrative and project coordination tasks to ensure smooth operations and timely delivery
- Prepare accurate quotations, proposals, tender submissions, and related documentation to support business development
- Track tender opportunities and coordinate submission requirements to maximize bid success
- Support sales activities by managing client correspondence, preparing proposals, and conducting timely follow-ups
- Coordinate project schedules, meetings, site visits, and resource allocation to optimize project execution
- Monitor project progress and proactively follow up with clients, suppliers, and internal teams to resolve outstanding issues
- Perform basic accounting tasks including invoicing, payment tracking, expense claims processing, and document filing to maintain financial accuracy
- Maintain comprehensive project records, contracts, reports, and databases for effective information management
- Prepare management reports, meeting minutes, and project status updates to facilitate informed decision-making
- Provide general administrative support to management and project teams to enhance operational efficiency
Preferred Competencies and Qualifications
- Diploma or equivalent qualification in Engineering, Business Administration, Accounting, Project Management, or related field
- Familiarity with tender submissions and basic accounting processes
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Strong organisational skills with keen attention to detail
- Effective communication and follow-up skills
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
