Project Coordinator

Job Summary

Coordinate and support project administrative tasks, material sourcing, and scheduling to ensure timely delivery and smooth project progress in renovation and construction settings.

Responsibilities

  • Coordinate daily project administrative tasks and maintain accurate site documentation
  • Assist Project Manager with project coordination and scheduling to meet deadlines
  • Prepare quotations, purchase orders, delivery orders, invoices, and related project paperwork
  • Source materials by comparing prices and purchasing from suppliers to optimize costs
  • Coordinate delivery schedules to ensure timely arrival of materials on site
  • Liaise effectively with suppliers, subcontractors, clients, and site supervisors to facilitate communication
  • Monitor project progress and update work schedules to reflect current status
  • Follow up on material availability, site requirements, and manpower arrangements to support project needs
  • Assist in submitting required documents to management, consultants, and authorities
  • Maintain organized filing systems for drawings, quotations, invoices, and project records
  • Prepare simple reports, work schedules, and coordinate meetings to support project operations
  • Support day-to-day operational and administrative duties assigned by management

Preferred competencies and qualifications

  • Basic knowledge of renovation, construction, or interior fit-out industry
  • Experience in purchasing or material coordination
  • Proficiency with Microsoft Office applications (Excel, Word) and WhatsApp for coordination
  • Knowledge of construction materials and site coordination
  • Ability to read basic drawings and project schedules
  • Familiarity with Xero quotation and invoicing system
  • Understanding of submission and renovation processes
