Position Overview:

The Project Manager owns the successful delivery of Apollo’s cybersecurity services engagements – from kickoff through closeout – across a portfolio of concurrent projects. Where the Project Coordinator supports logistics, the Project Manager owns outcomes: scope, schedule, budget, resourcing, risk, as well as internal and client communication. This role is the connective tissue between clients, technical delivery teams, and leadership, ensuring engagements are delivered on time, on budget, and to Apollo’s quality standard.

Key Responsibilities:

  • Own the full delivery lifecycle for a portfolio of concurrent cybersecurity engagements, managing scope, schedule, budget, communications, and quality.

  • Develop and maintain project plans, milestones, RAID logs (risks, assumptions, issues, dependencies), and status reporting.

  • Coordinate resourcing and scheduling across consultants, managers, engineers, and assessors based on availability, skills, location, and client need.

  • Proactively identify and manage risks, issues, and scope changes; escalate appropriately.

  • Serve as the primary delivery point of contact for assigned clients, managing expectations and communication cadence.

  • Coordinate kickoff meetings – both external and internal, working sessions, internal syncs, and stakeholder touchpoints; prepare agendas and ensure attendees are equipped.

  • Capture and distribute decisions, action items, and next steps, and drive outstanding actions to closure.

  • Lead meetings with relevant questions, tasks, and corrections to ensure engagement timelines are adhered to for meeting Apollo IS and stakeholder requirements.

  • Maintain and audit project records to ensure they’re accurate in the Professional Services Automation tool (Cloud Coach) and Microsoft SharePoint.

  • Ensure accurate time tracking for billing, forecasting, and performance metrics; support invoicing and revenue recognition inputs.

  • Produce project and portfolio progress reports for leadership and clients.

  • Contribute to continuous improvement of PMO processes, templates, and tooling.

Qualifications

  • Required

    • Project management experience, preferably in professional services, technology, or cybersecurity consulting.

    • Demonstrated ownership of project scope, schedule, budget, and resourcing across multiple concurrent engagements.

    • Strong organizational, prioritization, and stakeholder-management skills.

    • Exceptional written and verbal communication; able to lead client and executive conversations.

    • High attention to detail and accuracy in planning, documentation, and reporting.

    • Proficiency with Microsoft Office (Word, Excel, Outlook, Teams) and collaboration platforms (SharePoint, Zoom).

  • Preferred

    • PMP, CAPM, CSM, or equivalent project-management certification.

    • Experience with a Professional Services Automation (PSA) tool – Cloud Coach experience strongly preferred.

    • Familiarity with cybersecurity services delivery (assessments, managed services, incident response).

    • Experience managing fixed-fee and time-and-materials engagements.

Expectations:

  • At 30 days:

    • Complete onboarding to Apollo's delivery infrastructure

    • Integrate with multiple projects: observe kickoffs, client calls, and internal syncs to understand how Apollo runs delivery with feedback on areas of improvement and communication.

    • Meet key internal stakeholders

    • Become proficient at project management tools and reporting requirements

  • Within 90 days:

    • Own a portfolio of assigned engagements independently: scope, schedule, budget, RAID log, client communication, and status reporting with minimal escalation

    • Demonstrate clean, accurate records in tools – time tracking, expenses, billing inputs, and project data should meet a correct rate of 95% on .

    • Earn trust as the primary delivery contact with assigned clients — communication cadence is set, expectations are managed proactively, and clients aren't chasing you for updates

    • Surface at least one risk, issue, or scope change that you identified early, escalated appropriately, and drove to resolution before it became a delivery problem

  • By 180 days:

    • Carry a full portfolio of concurrent engagements at expected capacity with a track record of on-time, on-budget delivery across fixed-fee and T&M structures

    • Be the person internal teams proactively loop in

    • Contribute at least one concrete improvement to PMO process, templates, or tooling that gets adopted

    • Demonstrate fluency in Apollo's cybersecurity service lines (assessments, managed services, incident response) at a level sufficient to hold substantive delivery conversations with technical teams and clients without needing translation

    • Have a clear, shared view with your manager on portfolio growth
