Your Role as Project Officer
The Project Officer plays a key role in supporting Wesley Mission Queensland’s volunteer workforce by delivering administrative, systems, and engagement support. This position ensures volunteers are effectively integrated by managing data, coordinating training compliance, and driving initiatives that enhance retention and community connection, ultimately contributing to a high-quality volunteer experience.
Key responsibilities include:
Supporting volunteer engagement projects and manage a portfolio of volunteers, ensuring smooth onboarding and ongoing support
Managing the Learning Management System (LMS), including enrolments, training guidance, completion tracking, and compliance monitoring
Delivering initiatives that build a strong, connected, and engaged volunteer community
Coordinating recognition programs and events to celebrate and reward volunteers
Providing day-to-day administrative support to keep volunteer operations running smoothly
Acting as the first point of contact for volunteer enquiries, offering helpful and professional support
Maintaining accurate volunteer records across systems (CRM, VMS, and Microsoft platforms)
Assisting with additional tasks as directed by the Team Leader – Projects
This is a fixed-term position until 30/06/2031. The role is part-time consisting of 18 hours per week.

What We’re Looking For
Understanding of the non-profit sector and the operational requirements of delivering volunteer services in diverse community settings.
Experience in end-to-end recruitment, including multi-channel sourcing, candidate screening, and values-aligned interviewing.
Ability to work effectively within a team environment to achieve high-performance outcomes.
Strong interpersonal skills with the capacity to build rapport and engage effectively with a broad range of stakeholders.
Proficiency in drafting targeted marketing content, general correspondence, and related documentation.
High-level accuracy in data entry and documentation, ensuring meticulous record-keeping and regulatory compliance.
Experience using CRM platforms, Volunteer Management Systems, Learning Management Systems or data management and activity tracking.
A Valuable Addition, Yet Not a Must-Have!
Tertiary qualification, diploma, or equivalent experience in Community Services, Volunteer Management, Administration, Events Management, or a related field.
Foundational knowledge of the National Standards for Volunteer Involvement and the stages of the volunteer lifecycle.
Awareness of Australian legislative requirements within the aged care, disability, and community sectors as they relate to volunteer compliance and onboarding.
Essential Requirements
Proof of COVID-19 vaccination status (or as required by legislation and WMQ policy)
Relevant probity checks required by legislation and WMQ Limited policy.
Current Driver’s Licence and willingness to travel for work
