Join Maxis as a Project Support Office (PSO) Protégé, where you will gain hands-on experience supporting retail store build, renovation, and rollout projects across the country. This role provides exposure to project coordination, financial administration, documentation management, vendor engagement, and operational excellence while working closely with project managers and cross-functional stakeholders to ensure successful project delivery.
What will you be doing?
1. Bill of Quantities (BQ) Review & Project Coordination
Support the review and verification of Bills of Quantities (BQ) against project specifications, drawings, and site progress. Assist in identifying discrepancies, quantity variations, and potential cost overruns for escalation to the Project Manager.
2. Regulatory Documentation & Permit Management
Coordinate project-related documentation, permits, and applications. Liaise with councils, landlords, contractors, and regulatory bodies to ensure submissions are completed accurately and approvals are obtained on time.
3. Document Control & Records Management
Maintain a structured document management system for project records, ensuring proper filing, version control, document tracking, and easy retrieval of project information for reporting and audit purposes.
4. Financial Administration & Budget Tracking
Support the raising of Purchase Requisitions (PRs) and Purchase Orders (POs), process invoices, track project expenditures, and maintain budget records. Assist in monitoring spending against approved budgets and highlight potential variances.
5. Process Improvement & Operational Support
Assist in documenting and improving project processes, workflows, and standard operating procedures to enhance efficiency, consistency, and knowledge sharing across the team.
6. Store Maintenance & Brand Standards Support
Support the monitoring of existing and newly renovated stores to ensure compliance with brand standards and retail design requirements. Assist in coordinating maintenance activities and follow-up actions with relevant stakeholders.
7. Stakeholder Coordination
Work closely with internal teams including Retail Management, Consumer Business, Finance, Procurement, and external partners to support project execution and ensure smooth communication across all parties.
8. Project Reporting & Administration
Prepare project status updates, trackers, reports, meeting minutes, and presentation materials to support project governance and management reviews.
What do you need to have for this role?
Education
Diploma or Bachelor's Degree in Business Administration, Quantity Surveying, Project Management, Construction Management, or a related field.
Work Experience
Fresh graduates or candidates with 0–1 year of working experience are encouraged to apply.
Exposure to project coordination, administration, retail operations, or construction-related environments would be an added advantage.
Skills / Knowledge
Strong organisational and documentation management skills.
Good written and verbal communication skills.
Ability to manage multiple tasks and deadlines effectively.
Attention to detail and accuracy in handling project records and financial documentation.
Familiarity with Purchase Requisition (PR), Purchase Order (PO), invoice processing, and budget tracking processes is an advantage.
Proficient in Microsoft Excel, PowerPoint, and other Microsoft Office applications.
Strong analytical and problem-solving skills.
Ability to work collaboratively with multiple stakeholders.
