About the role
We are seeking a detail-oriented Purchasing & Procurement Coordinator to support our day-to-day procurement and purchasing operations. In this role, you will work closely with vendors, suppliers, and internal teams to manage quotations, purchase orders, deliveries, and invoice verification. You will play a key role in ensuring accurate records, timely order fulfillment, and compliance with company procurement processes.
The ideal candidate has strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This position offers an excellent opportunity to develop expertise in procurement, vendor management, and supply chain operations while contributing to the efficiency of the business.
This role requires working hours aligned with the U.S. Eastern Time Zone (9:00 AM 5:00 PM).
Key Responsibilities
- Coordinate with vendors and suppliers to obtain quotations and pricing information.
- Collaborate closely with the sales team to prepare, review, and upload customer quotations.
- Process purchase orders and monitor order confirmations from suppliers.
- Track order progress and provide timely updates on delivery schedules.
- Follow up with vendors to ensure on-time delivery and resolve any delays.
- Verify invoices by matching them against purchase orders and receiving documents.
- Manage internal purchase requests while ensuring compliance with company procurement policies.
- Investigate and resolve discrepancies related to pricing, quantities, invoices, and deliveries.
- Maintain accurate purchasing and order records.
- Generate procurement, purchasing, and order status reports as required by management.
- Support day-to-day purchasing and administrative activities to ensure smooth operations.
Qualifications & Requirements
- 1-3 years of experience in an administrative, procurement, purchasing, or supply chain support role.
- Strong attention to detail with excellent organizational and time-management skills.
- Effective communication and interpersonal skills, with the ability to build and maintain positive vendor and internal stakeholder relationships.
- Experience coordinating with suppliers, managing purchase orders, and tracking deliveries is an asset.
- Proficiency in Microsoft Office Suite, particularly Microsoft Excel.
- Familiarity with procurement, purchasing, or ERP systems such as SAP, Oracle, NetSuite, or similar platforms.
- Ability to manage multiple tasks, prioritize competing deadlines, and work in a fast-paced environment.
- Strong problem-solving skills with the ability to identify and resolve discrepancies efficiently.
- High level of accuracy and commitment to maintaining data integrity and compliance with company policies.
Nice to Have
- Experience with inventory management, warehouse, or supply chain operations.
- Knowledge of procurement best practices, policies, and compliance standards.
- Familiarity with vendor management and supplier coordination.
- Experience with inventory tracking, forecasting, or replenishment.
- Exposure to ERP or inventory management systems.
