Do you enjoy being the person who keeps a workplace running smoothly — and makes people feel genuinely looked after while you do it? As Receptionist at our Client Belgrade office, you'll be the go-to person for everything that keeps the workplace functioning day to day, from visitor experience and building security to vendor oversight and small facilities projects. You'll work closely with building management, Soft Services vendors, and JLL's Regional Facilities and Moves & Changes teams, juggling hands-on coordination with sharper administrative tasks like procurement and reporting. It's a varied, fast-paced role for someone who's organized, practical, and comfortable being the first point of contact when something needs fixing — or someone needs a warm welcome. What You'll Do

  • Own the internal and external visitor experience, making sure every interaction leaves a positive, memorable impression
  • Liaise with building management, security, and reception, and manage all onsite security processes, including ID and access cards
  • Conduct weekly building walk-throughs to identify maintenance issues, and coordinate small facilities repair and maintenance projects, supporting larger ones as needed
  • Oversee the day-to-day performance of Soft Services vendors — cleaning, internal window cleaning, planting, fire extinguisher servicing, and document destruction — plus the maintenance provider
  • Manage procurement: raise quotes for client approval and POs for JLL and SAP vendors on above-baseline services, and monitor stock levels for stationery, consumables, and mail supplies
  • Keep onsite manuals, handbooks, and guidance notes up to date, and work with the Regional Facilities Manager and Moves & Changes team on space requirements and team moves
  • Run day-to-day mailroom operations — deliveries, courier relationships, and enquiries — and support the setup of in-house and external events
  • Resolve issues raised through the Facility Direct ticketing system, and keep client and internal systems accurately updated


What We're Looking For

  • A genuine customer-first mindset and comfort being the face of the workplace
  • Confident stakeholder management, with ease liaising across building management, security, and vendor teams
  • A practical, hands-on approach to facilities coordination and vendor oversight
  • Strong organizational skills, with the ability to juggle multiple moving parts — vendors, stock, tickets, and mail — at once
  • Sound judgement, with an eye for spotting and prioritizing maintenance or security issues
  • A working understanding of basic procurement processes, such as quotes and purchase orders
  • Comfort working across client and internal systems and ticketing tools, with a quick ability to pick up new ones
  • An adaptable, calm approach, ready to support ad hoc tasks, events, and office moves as they come up
