Position Summary

This position performs technical and customer service duties to assist in the college’s advising, student registration and records management processes.

MAJOR DUTIES

  • Receives, processes and analyzes incoming student transcripts, including international transcripts and military transcripts.

  • Reviews and records prior learning credentials (AP, CLEP scores, IB, TEEX, etc.).

  • Researches and verifies institutional accreditation.

  • Compiles and calculates quarter hour courses for semester hour credit.

  • Analyzes, processes and posts equivalent transfer coursework; prepares transfer evaluation reports.

  • Manages and processes transfer credit appeals.

  • Reviews, researches, and processes course substitutions based on transfer credit.

  • Maintains Transcript Equivalency System with College Source.

  • Completes degree and enrollment verification requests.

  • Processes transcript requests and resolves issues with third-party systems.

  • Enters grades and processes grade changes.

  • Manages and enters grades into military system.

  • Understands, explains, and follows the Family Educational Rights and Privacy Act (FERPA), related to student records. Provides forms and instructions to students and enters release information into computer system.

  • Provides customer services; answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.

  • Records, registers, drops and withdraws students from classes; enters withdrawal grades as appropriate; troubleshoots and resolves registration error codes, and billing issues due to data entry errors.

  • Provides instructions and guidance on way finding on the website

  • Assists students in registering for classes.

  • Resolves issues with student records.

  • Sorts and files completed paper documents in preparation for scanning; scans and indexes documents.

  • Performs related duties.

SUPERVISORY CONTROLS

The Registrar assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

  • The work consists of related technical and customer service duties. Strict regulations contribute to the complexity of the position.

  • The purpose of this position is to perform technical duties and customer service to assist with the college’s student advising, registration, and records management processes. Successful performance contributes to the efficiency and effectiveness of inter-departmental operations.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

  • The work is typically performed while intermittently sitting, standing, stooping or walking. The employee occasionally lifts light objects.

  • The work is typically performed in an office.

MINIMUM QUALIFICATIONS

  • Associate degree required. Demonstrated knowledge, technical skills, and professional competencies typically acquired through specialized education and training in a related field.

  • One to two years of relevant experience, or completion of an apprenticeship or internship, demonstrating an understanding of the fundamental principles and responsibilities associated with the position.
