Sales Administrator, Private Client Service

ROLE

The Sales Administrator plays a role in supporting the day-to-day operations of the sales team within a fast-paced luxury hospitality environment. This individual helps ensure sales processes run efficiently by supporting administrative processes, coordinating internal follow-up, maintaining accurate records, and assisting with operational tasks that allow the sales team to focus on revenue generation and guest relationships.

The ideal candidate is highly organized, detail-oriented, collaborative, and comfortable working across multiple departments and systems.


KEY ACCOUNTABILITIES

  • Provide administrative and operational support to the sales team
  • Assist with lead routing coordination, shared inbox management, and internal follow-up support
  • Support CRM management, including record updates, duplicate resolution, and data accuracy
  • Coordinate with internal departments as needed to support administrative and operational requests
  • Assist with resolving booking and CRM-related issues and escalate when appropriate
  • Maintain and organize sales documentation, SOPs, training materials, and internal resources
  • Monitor shared inboxes, voicemails, and operational requests as needed
  • Assist with administrative projects and team support initiatives as needed
  • Help ensure reservations, communications, and sales records are updated accurately and in a timely manner
  • Support reporting requests and administrative tracking as needed

QUALIFICATIONS (skills, competencies, experience)

  • 1-2 years of administrative, sales support, operations, or customer service experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Strong follow-up and time management skills
  • Experience working with CRM systems such as Salesforce preferred
  • Hospitality, luxury travel, or high-touch service experience preferred
  • Proficiency with Microsoft Office Suite
  • Ability to work independently and as part of a team
