Sales Assistant

The Sales Assistant provides administrative, reporting, coordination, and operational support for the sales function. This position maintains sales-related records and databases, prepares reports and materials, coordinates meetings and travel, supports sales training activities, assists with collateral and communication materials, and provides general administrative support to sales leadership and department staff. The role may provide backup support for move-in coordination duties or perform limited move-in coordination responsibilities in smaller communities where a separate Move-In Coordinator is not assigned.

Pay Range: $21.00 - 23.50 depending on experience

Schedule: Full Time, Monday-Friday 8:30AM - 4:30PM

To be successful in the role, you would have:

  • High school diploma or equivalent.
  • Two years of administrative, sales support, office coordination, customer service, executive support, or related experience.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams or similar collaboration tools.
  • Ability to prepare, format, proofread, and maintain reports, spreadsheets, presentations, correspondence, records, and department documentation.
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, interruptions, and follow-up items.
  • Strong verbal and written communication skills with the ability to provide professional, courteous service to residents, prospects, depositors, families, vendors, team members, and leaders.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Basic math skills, including the ability to calculate percentages, ratios, totals, and other routine business calculations.
  • Ability to learn and use sales, reporting, expense, purchasing, document management, and other business systems.
  • Ability to work independently within established procedures and ask appropriate questions when direction is needed.
  • Criminal background clearance and health screening requirements as applicable by law, regulation, or company policy.

A day in the life may look like:

  • Supports sales leadership and department staff with administrative coordination, calendar management, meeting scheduling, travel arrangements, expense processing, correspondence, and general office support.
  • Maintains sales databases, reports, records, contact lists, collateral inventories, and related information to support sales operations, reporting, follow-up, and decision-making.
  • Prepares, formats, proofreads, and distributes reports, presentations, meeting materials, agendas, sales documentation, training materials, correspondence, and other department communications.
  • Coordinates sales meetings, trainings, seminars, conferences, banquets, and related events, including scheduling, logistics, materials, room setup, agendas, and follow-up items.
  • Provides professional communication support to residents, prospects, depositors, families, visitors, vendors, community staff, internal partners, and other stakeholders in a courteous and service-focused manner.
  • Assists with sales incentive, bonus, and tracking processes by compiling data, maintaining records, preparing reports, and supporting review and reconciliation activities.
  • Processes invoices, expense reports, credit card activity, purchase requests, and other administrative transactions in accordance with company procedures and chart-of-account requirements.
  • Maintains and distributes sales and marketing collateral, forms, business cards, stationery, supplies, and related department materials for corporate and community use.
  • Supports sales and marketing initiatives by assembling materials, tracking information, maintaining files, and coordinating documentation needed for plans, campaigns, community support, and sales activities.
  • Provides backup support for move-in coordination activities, including documentation tracking, communication, scheduling, and follow-up, as assigned.
  • In smaller communities, may assist with depositor/future resident communication, contract preparation support, move-in paperwork, and coordination with internal departments.
  • Uses Microsoft Office, email, databases, reporting tools, and other systems to enter, retrieve, organize, and communicate information accurately.
  • Maintains confidentiality of resident, prospect, depositor, team member, financial, sales, and business information.
  • Supports a resident-centered and service-oriented culture by promoting professional, respectful, and responsive interactions with residents, prospects, families, team members, and business partners.
  • Understands and follows company, community, department, compliance, safety, confidentiality, and resident rights policies and procedures.

Working Conditions & Physical Requirements

  • Works primarily in a professional office environment.
  • Uses standard office equipment, including computer, phone, printer, copier, scanner, and related technology.
  • Regularly sits, uses a computer, views a monitor, types, talks, hears, and communicates by phone, email, video conference, and in person.
  • Frequently performs repetitive hand and wrist movements associated with keyboarding, data entry, and document preparation.
  • Occasionally stands, walks, bends, reaches, files, organizes materials, and moves supplies, documents, collateral materials, or equipment generally weighing up to 20 pounds.
  • May occasionally travel locally or to communities, meetings, trainings, or events.
  • Must be able to manage multiple priorities, interruptions, deadlines, and interactions in a fast-paced office environment.
  • May occasionally work outside standard business hours to support meetings, events, deadlines, or department needs.
