Sales Assistant
Role Purpose: Responsible to handle the administrative budget and a variety of administrative tasks, including managing emails, scheduling appointments and planning meetings. Provides support to sales and marketing team, preparing reports and working as a facilitator. Gather materials and assemble information packages (e.g., brochures, promotional materials). Enter, retrieve, reconcile, and verify information in software involved in the sales process. Answer partners questions about property facilities/services (e.g., hours of operation, room types, promotions, entertainment, restaurants and special events). Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs administrative related duties, including payments, invoices, order office supplies, submit and reconcile expense reports, administrative budget control and budget reports, and keep closer relationship with (UPI Finance) and BCD (TMC).
- Assist sales teams with training and events (e.g., attending, requesting reservations, answering chats, searching for new vendors, quotes, materials, organization, payments), maintaining partners mailing list updated, order and control of material/giveaways logistics and inventory, filing important documents and communicating relevant information. Main contact for UPC requests in Spanish
- Assist sales team in FAMS, requesting tickets, hotels, sites, gift cards and coordinating all necessary activities that are included in the itinerary.
- Assist the team managing schedules, reservations, appointments and update LATAM calendar, travel arrangements and other duties as assigned.

SPECIFIC EDUCATION / EXPERIENCE:
Language Skills: Advanced/fluent English is needed.
Education: Bachelor’s degree from a four-year college or university in business administration or relevant field.
Experience: Proven work experience as an assistant. Experience in sales will be considered a plus.
