Sales Coordinator

Job Summary

The Sales Coordinator will provide administrative support to the sales team in Japan.

Directly reporting to the Country Sales Manager, this position needs to take initiative in managing schedules, contracts and other legal material, generating reports related to sales activities, as well as handling customer and prioritizing customer requests.

Responsibilities

  • Carry out general administrative duties within the sales team in preparation of:
    • contracts and other legal material
    • sales documents and proposals
    • working with Sales internally on tender responses
    • sales reports
    • documentation for internal approval processes
    • bid review material
    • sales research papers
    • correspondence
    • letters and e-mails
    • customer billing
  • Coordinate and manage schedules of DEMO sessions, pre-sales, sales and post-sales discussions and sales events with prospects and existing customers, and internal sales meetings.
  • Work closely with the Sales team to generate pipeline management reports, internal regular reports such as month end and regional reports.
  • Liaise with Corporate and Regional offices on contracts, pricing processes and procedure
  • Handle inquiries and provide information where appropriate internally and externally

Work with other departments including Customer Operations, Legal and Finance to ensure fast and accurate processing of customer related documentation.

Experience and Qualifications

  • At least 2 years previous experience in a similar role
  • Strong interpersonal and communication skills
  • Relationship management
  • Advanced Computer skills, Word, Excel and Power Point essential
  • Experience with a CRM, such as Salesforce.com, PegaSystems, Jira
  • Ability to work autonomously, use initiative to resolve issues, prioritise and exercise discretion
  • A self-motivated, proactive and flexible approach to work with a high level of adaptability and flexibility
  • Proven ability to work under pressure and meet deadlines
  • A level of strategic thinking, initiative, research and reporting skills
  • Able to make decisions quickly
  • Attention to detail and the ability to communicate and problem solve
  • Proven track record interacting with senior management and the ability to relate, communicate and build relationships with people at any level and from any country
  • A high level of discretion, confidentiality & professionalism

Education and Training

Bachelors Degree in Business or relevant other
