Sales Operations / Admin Specialist (Fully WFH | Flexible)

About the Role

Join a growing, international business in the semiconductor and equipment trading space! This is a great opportunity for someone who enjoys a hands-on, fast-paced role supporting both sales operations and basic finance functions. You’ll play a key role in keeping deals moving, coordinating across teams, and ensuring everything runs smoothly from quotation to payment.

Working Location: Fully remote (WFH), with one in-person meeting per week in the Woodlands area

Working Hours: Monday to Friday, flexible working hours

What You’ll Be Doing

  • Prepare quotations, invoices, and purchase orders

  • Track and manage customer orders, deals, and inventory lists

  • Coordinate with sales team on pricing, deal sheets, and follow-ups

  • Monitor payment status and follow up with internal stakeholders

  • Handle documentation, shipping records, and filing

  • Maintain internal trackers (Excel) for transactions and reporting

  • Support basic finance tasks (AR/AP, GST checks, liaison with external accountants)

  • Assist in preparing reports, commission tracking, and billing summaries

What We’re Looking For

  • 2–4 years experience in sales admin / operations / accounts support

  • Comfortable handling quotes, invoices, and documentation

  • Strong Excel skills (tracking, organizing data)

  • Detail-oriented, organized, and able to manage multiple tasks

  • Proactive and comfortable following up with different stakeholders

  • Positive attitude and able to thrive in a dynamic environment

  • Strongly independent, able to take ownership and handle tasks with little to no supervision
