Secretary to Executive Vice President
Job Responsibilities
- Manage the Executive Vice President’s calendar, appointments, and meetings.
- Prepare, review, and format presentations, reports, meeting materials, and correspondence.
- Arrange and coordinate business travel, including flights, accommodation, visas, and itineraries.
- Prepare travel schedules and follow up on travel claims and expense submissions.
- Liaise with internal teams across the region to coordinate meetings, collect updates, and track follow-up actions.
- Support the preparation of management meetings, conferences, including meeting agendas, minutes, and action items.
- Maintain proper filing systems for documents and records, in both digital and physical formats.
- Support document control, approvals, and version tracking.
- Handle confidential and sensitive information with due care and discretion.
- Other ad-hoc duties assigned by the managements.
Job Requirements
- Bachelor’s degree and above in Business Administration, Business Management, or a related discipline.
- At least 3 years of relevant experience in a Personal Assistant, Executive Assistant, or similar administrative support role. Experience in supporting senior management or regional leadership will be an advantage.
- Good organizational, coordination, and time management skills, with attention to detail.
- Able to work independently, manage multiple tasks, and meet deadlines in a fast-paced environment.
- Good written and spoken communication skills.
- Able to handle confidential information with professionalism and discretion.
- Experience in a multinational or matrix organization will be an advantage.
- Proficiency in English and Mandarin is required to communicate and coordinate with English- and Mandarin-speaking stakeholders in the course of work.
- Willing to travel as required by business needs.
