In this role:
In this role, you will provide high-level executive and administrative support to two senior leaders, with a strong focus on complex calendar management across global time zones. You’ll play a critical role in keeping daily operations running smoothly by coordinating meetings, managing expenses, and supporting key administrative functions in a fast-paced environment.
You will also contribute to event planning, onboarding coordination, and asset management, ensuring both people and resources are well-supported. This position requires a proactive, self-directed professional who can anticipate needs, manage competing priorities, and step in wherever support is needed.
Success in this role means being highly organized, adaptable, and detail-oriented, while maintaining professionalism and efficiency in a dynamic, hybrid work environment.
Responsibilities:
Executive & Calendar Support:
Manage complex calendars for two senior leaders, including scheduling across global time zones, coordinating recurring meetings, and resolving conflicts. Ensure seamless day-to-day scheduling and prioritization of engagements.
Administrative & Business Support:
Provide high-volume transactional administrative support including expense preparation and management, meeting coordination, and general team support. Maintain strong organization across multiple priorities in a fast-paced environment.
Event & Meeting Coordination:
Assist with event planning, coordination, and onsite support as needed. Ensure meetings and events are executed smoothly, including logistics and setup.
Asset & Facilities Management:
Oversee equipment logistics such as tracking and receiving returned devices, maintaining the asset closet, and ensuring facility areas remain organized and operational.
Onboarding & Team Support:
Support onboarding of new team members, including coordination of resources and setup. Provide ongoing administrative support to the broader team as needed.
Ad Hoc Support:
Handle day-to-day administrative tasks and respond to time-sensitive or unplanned needs with minimal supervision. Proactively identify tasks and take initiative to complete them.
Qualifications:
- Minimum 5+ years of experience in an executive administrative or similar support role in a fast-paced environment.
- Proven experience managing complex global calendaring, including time zone coordination.
- Strong proficiency with Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint) and familiarity with Microsoft Copilot tools.
- Experience with expense management and administrative processes.
- Excellent organizational, communication, and multitasking skills.
- Ability to work independently, prioritize effectively, and proactively manage workload.
- Strong attention to detail and ability to handle multiple competing priorities.
- Comfortable supporting senior leaders and working in a hybrid environment.
Preferred Qualifications:
- Experience supporting global teams and executives across multiple regions.
- Background in event planning and coordination.
- Experience with asset management and facilities coordination.
- Proven ability to work in hybrid environments.
- Demonstrated ability to take initiative and operate with minimal direction.
Compensation Information:
At Blueprint, we strive to offer competitive pay that reflects the value of our team members. Compensation for this role is influenced by a variety of factors, including skills, education, responsibilities, experience, and geographic market. For candidates based in Washington State, the anticipated salary range is $25.00-28.00 hourly. Please note that we typically do not hire new employees at the top of the posted range. Actual starting pay will be determined based on experience, skills, and internal equity. The final salary and job title may vary depending on the selected candidate’s qualifications and could fall outside the stated range.
