Senior Conference Planner, Housing
Role Purpose:
Deliver a world class service to all attendees through the conference hotel booking experience. Ensure first class execution, forward thinking and product development are applied constantly by the team and partners to aid client retention and business growth while still delivering a globally consistent and world class level of service.
What you will do:
Primary Responsibilities:
Support the conference hotel accommodation strategy for Gartner’s Destination Conferences hosted in multiple geographies and range from 2,000 to 15,000 attendees.
Creating housing documentation such as FAQs, booking guides, and email communications.
Regularly review hotel pick-ups across multiple hotels and events, identifying opportunities to adjust inventory to maximize availability, and mitigate any financial risk of attrition.
Internal escalation point of contact for hotel questions or issues, particularly for EMEA, APAC, LATAM, and India based conferences.
Manage 3rd party vendor hotel accommodations bookings
Assist in reconciling final pickup and any rebates/concessions due to the group
Travel to and carry out assigned “on-site” duties on designated conferences.

Build and maintain excellent working relationships with internal stakeholders and external partners
Achievement of financial objectives such as maximizing rebates and mitigating attrition risk.

Conference Production team including, but not limited to, Registration, Associate Registration, Strategic Planning, Venue Selection & Strategy, Logistics, Exhibitor Operations, External Speaker Management and Analyst Management team, and Marketing.

What you will need:
Minimum of 1-3 years in the hotel industry, preferably in group reservations, or 3-5+ years of business meeting planning experience
Hotel/room block inventory management
Rooming list management for large groups
Project management experience
Hotel negotiation and supplier management experience preferred
Excellent interpersonal and customer service skills. Ability to effectively deal with attendee and associate concerns in a friendly and positive manner and provide positive and proactive solutions.
Strong organizational and problem-solving abilities.
Ability to work independently and as part of a global team.
Highly motivated and detail-oriented.
Ability to take initiative and handle multiple tasks simultaneously.
Strong oral and written communication skills
Proficiency in the MS Office suite including Word, Excel, Gdrive and Power Point. Knowledge of hotel reservation systems (but not required).
Willingness to travel 25-30 % across EMEA locations
