Senior Document Control Specialist

The Senior Document Control Specialist is responsible for the complex administration, maintenance, and continuous improvement of the company's document control and engineering change management systems. The Senior Specialist ensures that controlled documents, engineering records, and Engineering Change Notices (ECNs) are processed, maintained, and distributed in accordance with company procedures, customer requirements, and regulatory standards.

Responsibilities include but are not limited to:

  • Processes and maintains complex Engineering Change Notices (ECNs), Engineering Change Requests (ECRs), and related change documentation. (25%)
  • Reviews submitted change packages for completeness, accuracy, and compliance with established procedures. Assesses and identifies contractual data requirements specified in customer contracts. Routes complex ECNs through required approval workflows and tracks status through completion. Coordinates the interactions between engineering, manufacturing, field operations, and marketing to ensure appropriate changes are documented and provides direction for the development of data. (25%)
  • Administers and maintains the company's- Document Control (DC) policy system, including policies, procedures, work instructions, specifications, forms and engineering documents. Establishes controls necessary to ensure that assigned, required data is compiled, prepared, reviewed, approved, published and submitted to or received from the customer in quality form, on time, and within budget. Achieves customer satisfaction by consistently prepping, scanning, inspecting, compiling, and assembling a wide range of projects accurately in a timely manner while maintaining company standards. (25%)
  • Develops training materials and presents DC training sessions. (25%)

Representative Qualifications:

  • Strong knowledge of document control principles and records management practices.
  • Ability to independently interpret procedures, forms, engineering documents, and technical records.
  • Strong organizational skills with exceptional attention to detail.
  • Effective written and verbal communication skills.
