NOTE: This role is hybrid and requires 4 days a week in our Walnut Creek, CA office.

The Senior Executive Assistant, Office of the CEO serves as a trusted strategic partner to the Chief Executive Officer (CEO) and Chief of Staff, providing high-level executive support while helping drive operational excellence within the Office of the CEO. This role extends beyond traditional executive support responsibilities through its partnership with the CEO and Chief of Staff on strategic initiatives, executive office operations, and organizational priorities. The Senior Executive Assistant will serve as an experienced resource and mentor to administrative professionals, helping promote best practices and operational excellence across the organization.

ESSENTIAL FUNCTIONS

  • Executive Partnership & Strategic Support
    • Serve as a trusted partner to the CEO and Chief of Staff, anticipating needs and proactively managing priorities.
    • Manage complex and dynamic calendars, ensuring alignment with organizational priorities and strategic objectives.
    • Coordinate domestic and international travel arrangements, executive meetings, and leadership events.
    • Prepare presentations, reports, briefing materials, agendas, and executive communications.
    • Facilitate cross-functional coordination and follow-up on key initiatives and action items.
    • Support Board of Directors activities, executive leadership meetings, and enterprise-wide events as assigned.
    • Exercise sound judgment in managing confidential, sensitive, and highly visible matters.
    • Act as a liaison between the Office of the CEO and internal and external stakeholders.
  • Executive Office Operations
    • Support the day-to-day operations of the Office of the CEO, ensuring efficiency, organization, and effective execution of priorities.
    • Develop and maintain processes that improve administrative effectiveness and operational consistency.
    • Coordinate executive support coverage and continuity planning as needed.
    • Assist with the planning and execution of strategic initiatives, special projects, and organizational priorities.
    • Monitor and track key deliverables, deadlines, and commitments on behalf of the CEO and Chief of Staff.
    • Identify opportunities to streamline processes and improve the effectiveness of executive operations.
  • Administrative Excellence & Mentorship
    • Serve as a resource and mentor to Executive Assistants and Administrative Assistants, sharing knowledge, best practices, and lessons learned.
    • Support the onboarding and integration of new administrative professionals as requested.
    • Contribute to the development and documentation of administrative processes, tools, and best practices.
    • Foster collaboration and knowledge-sharing among administrative professionals across the organization.
    • Participate in projects and initiatives that enhance executive support effectiveness.
    • Act as a role model for professionalism, discretion, executive partnership, and service excellence.
  • Relationship Management
    • Build and maintain strong working relationships with executives, Board members, team members, and external partners.
    • Represent the Office of the CEO with professionalism, diplomacy, and exceptional customer service.
    • Demonstrate a high level of emotional intelligence, adaptability, and executive presence.
    • Maintain strict confidentiality and exercise discretion when handling sensitive business and personnel matters.

KNOWLEDGE AND SKILLS

  • Experience supporting C-suite executives within a large, complex, multi-state, or matrixed organizational environment.
  • Exceptional organizational, planning, and project coordination skills, with proven experience leading projects, initiatives, and cross-functional efforts.
  • Strong written and verbal communication skills, combined with a demonstrated ability to influence and build relationships across all levels of the organization.
  • Advanced proficiency in Microsoft Office Suite and collaboration technologies.
  • Demonstrated ability to manage confidential and highly sensitive information with absolute discretion.
  • Proven ability to anticipate needs, operate effectively in a fast-paced executive environment, and manage competing priorities while maintaining accuracy and attention to detail.
  • Demonstrated experience mentoring, onboarding, or developing Executive Assistants and Administrative Professionals.
  • Experience supporting Board governance activities.
  • Exceptional executive presence, business acumen, and organizational agility.

EDUCATION, COMPETENCIES, CERTIFICATIONS/LICENSES

  • Minimum Qualifications
    • Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent combination of education and experience.
    • 10 years of progressively responsible executive support experience.
  • Preferred Qualifications
    • Experience supporting a Chief Executive Officer, President, or equivalent executive.

We target between minimum and midpoint of the range, and all offers are subject to a fair pay analysis - Compensation Range: Min: $110,387.00 - Mid: $137,983.00- Max: $165,580.00
