Senior HR & Office Administrator

About Us

Ho & Wee LLP is a boutique law firm. We are looking for a capable and proactive Senior HR & Office Administrator to help us run and grow the firm.

Key Responsibilities

1. Human Resources

• Implement and maintain firm-wide HR policies and procedures

• Oversee staff leave management and scheduling to ensure adequate manpower coverage at all times.

• Oversee the full recruitment lifecycle: drafting job descriptions, placing advertisements, screening CVs, coordinating interviews, and managing candidate communications.

• Manage work pass applications, renewals, and cancellations in compliance with MOM regulations.

• Handle employees’ benefits administration including medical insurance and leave entitlements.

• Maintain accurate and confidential employee records; manage staff confirmation, resignation, and offboarding processes.

• Introduce and enforce structure and discipline across the firm to support a well-run, professional working environment.

2. Office Management

• Oversee day-to-day office operations and ensure the office runs smoothly and efficiently.

• Manage and negotiate with third-party vendors and service providers, including IT, insurance agents, and facilities management.

• Manage procurement of office supplies

• Maintain lawyers’ practising certificates and professional indemnity insurance renewals.

• Handle ad hoc administrative matters as they arise, with a problem-solving mindset.

• Support the firm’s business development efforts by identifying opportunities to grow the firm’s profile and client base.

What We’re Looking For

• Minimum Diploma qualification in a related field.

• At least 5–7 years of relevant experience, ideally in a professional services environment (law firm, accounting firm, or similar). Experience in a legal setting is a strong advantage.

• Proven ability to take ownership and work independently with minimal supervision

• Strong HR knowledge including familiarity with MOM regulations, Employment Act, and labour laws in Singapore.

• Experience in recruitment

• Strong interpersonal and stakeholder management skills— able to liaise credibly with lawyers, partners, external vendors, and potential candidates.

• Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with legal practice management software is an advantage.

• Highly organised, meticulous, and able to manage multiple priorities in a fast-paced environment.
