What You'll Do :
- The Meetings & Events Coordinator will research and compile comprehensive information on destinations, hotels, suppliers, and venues to develop client proposals under the direction of the meeting owner and Sourcing Manager, organizing all materials into cohesive final proposals.
- This role involves establishing complete project timelines and workflow schedules with clients and suppliers, utilizing designated business program management systems to facilitate prompt and accurate handling of all program details from sourcing through final bill completion.
- The coordinator will handle and negotiate additional hotel needs, destination management company contracts, air arrangements, and all third-party agreements while monitoring attrition dates and cancellation policies to ensure contracted services are delivered as promised.
- The candidate will coordinate web registration support, collaborate with creative teams to produce program materials, and attend site inspections as needed to ensure program requirements are met.
- A key responsibility includes coordinating all program details to produce comprehensive program itineraries and working agendas, conducting program debriefs with clients, and providing detailed briefing reports post-event.
- The coordinator will work closely with accounting to complete final billing, review invoices for accuracy prior to client submission, and maintain meticulous records and system documentation according to client policies.
- The role requires evaluating program impact, reassessing objectives and outcomes, and developing continuous improvement plans while managing overall program budgets, tracking expenses, and ensuring accurate financial forecasting and reporting.
- Finally, the coordinator will handle special projects as assigned by leadership, develop and maintain knowledge of technology and software solutions, manage multiple concurrent projects effectively, and maintain strong relationships with clients and suppliers while staying current with industry standards and trends.

- The ideal candidate will possess strong negotiation skills and the ability to work effectively with multiple stakeholders including clients, suppliers, and internal teams across different regions.
- We value professionals who exhibit excellent communication abilities and can maintain consistent dialogue with clients throughout program lifecycles while managing competing priorities and tight deadlines.
- The successful candidate must demonstrate financial acumen with the ability to manage budgets, review billing accuracy, and track expenses while maintaining meticulous record-keeping and file management according to established protocols.
- We seek individuals who are proactive in identifying process improvements and developing standard operating procedures that enhance service delivery and operational efficiency.
- The candidate should possess strong problem-solving skills with the ability to develop and implement service recovery plans when challenges arise, ensuring client satisfaction and continuous improvement.
- Additionally, we are looking for someone who is committed to staying current with industry standards and trends while building and maintaining strong relationships with key clients and suppliers.
- Finally, the ideal candidate must be willing to travel primarily within the APAC region to support client site inspections and program operations as needed.
