TH Experiential is a full-service experiential marketing agency that designs and produces brand experiences that move people. We are a lean, fast-moving team that operates at the intersection of big ideas and precise delivery. Our client list includes Unilever, Sephora, McDonald’s, L’Oréal, eBay, DoorDash, IKEA, Kohl’s, and Nike.
WHY THIS ROLE, WHY NOW
TH Experiential is twenty years into building experiential work at a level most agencies aspire to. We are now in the most important moment of our company’s evolution: entering a new growth chapter built on world-building creative, AI-augmented operations, and a leadership team rebuilt for scale.
This role is one of the cornerstones of that build. The person who steps into it gets to help define how a 20-year creative agency operates at the next level, working alongside leadership to shape systems and processes as the company grows.
THE OPPORTUNITY
We are creating a dedicated Senior Project Manager role to own the through-line from RFP to final delivery. You will be the single thread that connects strategy to execution. Keeping every project on time, on scope, and clearly communicated at all times, both internally and externally.
Closing the Pitch-to-Execution Gap
One of the most important elements of this role is preserving the strategic and operational commitments made during pitch and intake all the way through to delivery. You are the continuity.
CORE RESPONSIBILITIES
In-Project (Active Execution)
- Own project timelines, workbacks, and cross-functional alignment across all active projects; analyze project risk and partner with leadership to navigate scope or timeline changes
- Run the weekly all-project status meeting and daily cross-functional standups between strategy, creative, and production; distribute agendas ahead of each meeting and ensure next steps are documented and communicated
- Provide weekly project status reporting to leadership: percent complete, on/ahead/behind schedule, hours burn versus budget, risks and blockers
- Complete internal program setup using Asana, Drive, and Slack per TH's SOP; keep Podio current throughout the full project lifecycle as our source of truth
- Facilitate smooth client onboarding and manage all operational client communication — status updates, timeline confirmations, scope clarifications, recap emails, and meeting agendas — in accordance with TH's SOP and standards
- Track hours versus scope in real time and surface overages same-week to leadership, operations, and production leads; ensure leadership has visibility into project financials including margin risk and scope creep (budget governance sits with Operations)
- Own the change order workflow end to end — tracking all budget and scope changes from draft to client approval to Podio documentation
Post-Project (Closure & Learning)
- Lead monthly Key Learnings sessions with cross-functional teams. Review outcomes, achievements, challenges, and project performance against initial objectives. Identify successful strategies and areas for improvement
- Ensure proper project closure: final documentation, archived assets, financial reconciliation handoff to Operations
- Conduct project post-mortems and recaps with internal teams and, where appropriate, with clients
- Partner with the Chief Creative Officer on identifying renewal and growth opportunities, then hand off into the strategic relationship layer
- Capture patterns from project performance and surface them to leadership to inform agency-wide process improvement

Process here isn't box-checking - it's the infrastructure that lets great work happen consistently and the whole team move faster. You keep the systems of record clean, you follow through without being told, and you make sure the client always gets a polished result. Good enough is not our pace. Great is the baseline.

INNOVATION & SYSTEMS
We are actively building the operating system of this agency, including AI-augmented workflows, new project management infrastructure, and modernized client communication systems. You will be assigned components of this build to carry forward as we test and roll out. This is not a wait-and-watch role. You will be in motion on innovation from week one alongside your active project responsibilities.
RAMP UP AND EXPECTATIONS
We are in a growth phase and moving quickly. This role is expected to be in motion on real work from day one.
- Immediate. Take ownership of assigned active projects under close partnership with the VP of Client Experience. Begin running operational client communication on those projects. Sit in on all RFP intakes and project kickoffs.
- First 30 Days. Lead projects with appropriate oversight. Get fluent in our current operational rhythm, and our active pipeline. Begin contributing to RFP hours estimation and weekly status reporting. Identify the top points to address in the next phase.
- First 90 Days. Operate as the primary owner of project lifecycle across assigned accounts. Establish weekly project status reporting cadence to leadership. Launch monthly Key Learnings sessions. Be actively contributing to systems and innovation rollouts assigned by leadership.
The pace will be quick. Oversight will be high in the first 30 days and will scale back as you ramp. Success looks like leadership being able to trust you to run the operational layer end-to-end by day 90.
WHO YOU ARE
You are an experienced project manager who has worked in an agency, production, and/or events environment. You understand what it means to manage multiple complex projects simultaneously. You are organized, proactive by default, and comfortable holding accountability across a team.
- 8+ years of program or project management experience, ideally in experiential or events
- Proven track record managing multiple concurrent projects from brief through delivery
- Strong project management tool fluency required. Experience with Asana strongly preferred
- Fluent in scope management: estimates, assumptions docs, change orders, hours-versus-scope burn
- Comfortable reading budgets and surfacing financial signals (margin risk, scope creep) to leadership, without owning budget governance
- Clear, structured communicator (written and verbal) with both internal teams and external clients
- Comfortable operating in a lean, fast-moving environment where structure is being built, not inherited
- Collaborative disposition: you lead through influence, not hierarchy
- High attention to cadence and follow-through. You close loops and you notice when others don’t
ENGAGEMENT DETAILS
- Type: Full-time salaried
- Reporting to: VP of Client Experience
- Compensation: Commensurate with experience. Performance bonus structure tied to operational KPIs (on-time delivery, scope-versus-burn accuracy, client retention) to be defined within the first 30 days
- Location: Remote-friendly. Availability for on-site presence during active productions and quarterly leadership in-person meetings
- Time Zone: Significant overlap with US Central time expected for daily team rhythm
- Travel: Approximately 10–20% during active production seasons
