Within BREVO, the Finance Department ensures that the company has, at all times, the financial resources required for its development. It guarantees that the company growth remains sustainable and profitable.

The Sales Administration plays a key role in addressing three major challenges for their assigned customer portfolio:

  1. Build and maintain trust-based relationships with clients regarding all billing matters.
  2. Ensure that billing processes are aligned with accounting rules and contribute to their continuous improvement & ensure the Cash collection
  3. Support the sales team throughout the customer relationship lifecycle.

Your impact at Brevo :

1. Client Relationship Management (Billing Focus)

  • Provide clients with clear visibility on Brevo’s billing model.
  • Respond to client inquiries regarding contractual terms, pricing grids, or issued invoices.
  • Support sales representatives in resolving disputes.
  • Communicate proactively with clients or sales teams in case of billing errors, unpaid invoices, or budget overruns.
  • Manage the administrative follow-up of Order Forms,contracts and POs.
  • 2. Billing Process Management

  • Register and manage subscription for Enterprise customers
  • Issue manual invoices based on contractual terms, consumed services, and applicable pricing grids.
  • Contribute to monthly closing activities by ensuring recognized revenue matches delivered services (prepare the list of invoices/credit notes to issue on the 1st of each month).
  • Monitor outstanding payments using information provided by the accounting team.
  • 3. Continuous Process Improvement

  • Propose enhancements to improve billing processes.
  • Keep track of the best-in-class tools to optimize billing performance.
  • Participate in working groups dedicated to improving billing efficiency and reliability.
  • Create IA agent to automate manual processes
  • Dashboard to track activity and KPIs
  • 4. Sales Support

  • Onboard new clients regarding the billing process.
  • Assist with purchase order entry and PO collection.
  • Monitor and track client budgets.
  • 4. Cash-Collection

  • Manage and optimize cash collection activities to reduce overdue receivables and improve cash flow.
  • Monitor, prioritize, and follow up on overdue customer accounts.
  • Conduct collection activities through emails, phone calls, and other communication channels.
  • Review and act on alerts, notifications, and escalations generated by AI collection tools.
  • Investigate and resolve payment disputes in collaboration with internal stakeholders (Sales, Customer Success, Finance, Operations).
  • Negotiate payment plans and monitor compliance with agreed payment schedules.
  • Anticipate and mitigate payment risks through proactive account management.
  • Identify root causes of payment delays and implement corrective actions to prevent recurrence.
  • Manage insolvency proceedings and prepare and submit claims when required.
  • Contribute to the continuous improvement of collection processes, tools, and reporting.
