What We Want

The Team Administrator is responsible for assisting Track & Field program with administrative duties. Handles scheduling of meets and facilities, team travel arrangements, film exchange and meet management duties.

Qualifications

Required Education and Experience:

  • Bachelor's Degree or equivalent combination of education and experience.

  • Three years of experience working in NCAA Athletics.

Required Knowledge, Skills, and Abilities:

  • General Track & Field Knowledge.

  • Proficient with Microsoft Office (Word, Excel, Powerpoint, Outook).

  • Ability to multi-task and work cooperatively with others.

Preferred Qualifications:

  • Master's degree.

  • A year and a half of full time experience or three years of part time, paid or volunteer experience as student manager.

  • Familiar with Hytek meet manager for Track and Field.

Responsibilities

MEET MANAGEMENT:

  • Coordinate with Facilities, 12th Man Productions, Marketing with the reservation, setup and production of all Home Meet Contests. Coordinate with timers and Officials (See Officials Coordinator) to work each home meet. Manage completion of setup, packet pickup, participating team communication, meet schedule and communication updates with all entities involved.

OFFICIALS COORDINATOR:

  • Manage the database/listing of officials for the Texas A&M Officials Association. Assist in recruiting new officials to add to the database. Communicate with the Officials Association all future home meets and recruit to work each meet. Communicate the itinerary and any update, manage lodging and meals for the officials for each meet. Coordinate a yearly banquet for the officials recognizing years of service and Hall of Fame recipients.

SCHEDULING:

  • Make all contracts for meets. All game guarantees must be kept within the overall budget. The contracts must be submitted to the Head Coach for approval and then a contract generated for the Athletic Director for his signature.

TRAVEL:

  • Set up the season’s travel itineraries. This requires a bidding process on buses, airline flights and hotels. The itineraries are based on the game time and consist of a flight, bus transportation, hotel reservations, practice time reservations and any site-specific arrangements.

ON CAMPUS RECRUITING:

  • Assist with on campus recruiting visits as needed.

STUDENT MANAGERS:

  • Coordinate the managers program and the training of the managers. The managers program should consists of a head manager and several assistants. Hiring, payroll and scheduling around classes are the main responsibilities.

PUBLIC RELATIONS:

  • Set up speaking engagements and publicity outings for the team members and members of the coaching staff. In addition, work as the initial contact person with the general public, students, media and corporate sponsors. This position should act as a liaison for the program.

CAMPUS RELATIONS:

  • Work directly with the Sports Information Director, Promotions Director, Business Operations Staff and other University Staff as the need arises. A facility, menu and meeting details must be arranged. Films, handouts, player appearances and guest speakers are all options that can be used throughout the Track & Field season.

COMPLIANCE:

  • Follow all compliance regulations and keep accurate records to be used in any compliance issues. Compliance issues cover every aspect of the program. Responsible for coordinating Practice Calendar with staff and following compliance requirements. A firm grasp of the NCAA and Conference rules greatly benefits the program.
