WMH Solutions is looking for a Service Coordinator / Dispatcher to support our customers, technicians, and service operations team.

If you've worked in service dispatching, service writing, customer support, automotive service, fleet maintenance, equipment service, heavy equipment, construction equipment, or industrial operations, this could be an excellent opportunity to grow your career.

In this role, you'll help coordinate technician schedules, manage service work orders, communicate with customers, support billing and documentation, and keep service operations moving efficiently.

Service Coordination & Dispatch

  • Coordinate incoming customer service requests
  • Schedule and dispatch field service technicians
  • Manage technician workloads and service activity
  • Monitor work-in-progress (WIP)
  • Communicate scheduling updates and service timelines

Work Order Administration

  • Open, manage, and close service work orders
  • Maintain accurate service documentation
  • Ensure labor, parts, and billing information is entered correctly
  • Support warranty and service processing activities
  • Maintain accurate customer and equipment records

Customer Communication

  • Serve as a primary point of contact for service-related inquiries
  • Provide customers with service status updates
  • Coordinate communication between customers and technicians
  • Deliver a high level of customer service and follow-through

Operational Support

  • Support service reporting and documentation
  • Assist with fleet and rental administration activities
  • Support branch service operations
  • Help identify opportunities to improve efficiency and customer satisfaction

A Typical Day Might Include

โœ” Updating customers on service progress

โœ” Creating and processing work orders

โœ” Coordinating parts and labor information

โœ” Monitoring technician schedules

โœ” Resolving service-related issues

โœ” Supporting billing and documentation

โœ” Helping the team stay organized and on schedule

Qualifications

  • High School Diploma or GED
  • 2+ years of experience in service coordination, dispatching, customer support, operations support, administration, or related fields
  • Strong organizational and multitasking skills
  • Excellent communication skills
  • Strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency with Microsoft Office and computer systems

Highly Preferred

  • Forklift industry experience
  • Material handling experience
  • Automotive service experience
  • Heavy equipment experience
  • Service management software experience
  • Fleet maintenance coordination experience
