SUMMARY
Drive the administrative efficiency of the service department by coordinating engineering service operations, managing workflows, and ensuring accurate administrative data control. This role bridges the gap between field engineers, sales, and corporate teams, ensuring all service contracts, work orders, and technical documentation are strictly processed through SAP and ServiceMax according to company compliance standards.
Responsibilities
- Service Workflow Coordination: Manage and track the end-to-end lifecycle of engineering service contracts, project milestones, and ad-hoc maintenance jobs.
- Work Order Management: Support the creation, assignment, and tracking of Work Orders (WO) in ServiceMax, ensuring field engineers complete entries for operational readiness.
- SAP Data & Process Management: Utilize SAP to release operational blocks, update contract milestones, verify customer accounts, and ensure all operational data complies with company workflows.
- Technical Documentation Control: Meticulously review, verify, and compile technical supporting documents, including Customer Purchase Orders (PO), Delivery Orders (DO), engineering timesheets, and third-party labor records.
- Operational Backlog Clearance: Monitor and clear outstanding administrative backlogs, ensuring all completed technical works are closed out promptly in the system.
- Cross-Functional Liaison: Act as the primary administrative link coordinating between Sales (for contract variations), Field Engineers (for job completion documentation), and internal corporate teams.
- Customer Inquiry Handling: Serve as the point of contact for customer administrative inquiries regarding service tracking, order verification, and job compliance details.
- Compliance & Audit Readiness: Maintain proper, auditable documentation for all service activities to meet internal processes and external reporting regulations.
Requirements
- Minimum 3 years of experience in project administration, service coordination, scheduling, or operational support roles within the Engineering sector.
- SAP Expertise (Mandatory): Hands-on proficiency in SAP operational workflows (e.g., project systems, sales/service order management, or data verification modules).
- Field Software Skills: Familiarity with ServiceMax or similar Field Service Management (FSM) software is a plus
- Industry Knowledge: Understanding of engineering documentation (e.g., technical service sheets, variation orders, site mobilization records).
- Core Competencies: Good organizational skills, high attention to detail, and excellent communication skills to effectively bridge technical engineers and corporate administration.
