Shipping & Receiving Coordinator

The Shipping & Receiving Coordinator is responsible for managing all activities related to shipping, receiving, and inventory control, ensuring accurate documentation and efficient workflow within the reception and logistics functions. This role supports timely distribution of materials and samples to internal departments while maintaining compliance with established protocols and quality standards.

ESSENTIAL FUNCTIONS:

  • Receive, verify, and track all incoming materials, supplies, and samples, ensuring accuracy against purchase orders and packing slips.
  • Establish and maintain shipping and receiving protocols, including proper electronic and written documentation in compliance with SOPs and ISO standards.
  • Coordinate the flow of incoming products and samples to appropriate departments, supporting operational timelines and priorities.
  • Implement and optimize workflows for inventory receipt and sample handling to ensure efficiency and accuracy.
  • Maintain accurate records of inventory type, quantity, and location; assist with submission forms and document control.
  • Prepare and label samples for downstream processing, ensuring proper identification and traceability.
  • Perform data entry and organize sample information in designated systems for accessibility and reporting.
  • Support continuous improvement initiatives within logistics and reception processes to meet department goals and objectives.
  • Other duties as assigned by the manager.

PREFERRED QUALIFICATIONS:

  • High School Diploma or equivalent required.
  • Previous experience in logistics, inventory management, or laboratory operations preferred but not required.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to communicate clearly and professionally with internal teams and external vendors regarding shipping, receiving, and sample handling processes.
  • Proficiency in Microsoft Word and Excel required; familiarity with inventory management systems or ERP software is a plus.
  • Strong attention to detail and organizational skills.
  • Ability to follow established SOPs and maintain compliance with ISO standards.
  • Effective time management and ability to prioritize tasks in a fast-paced environment.
  • Problem-solving skills and adaptability to changing workflows.
