Snr Administrative Coordinator (Regional Support) – Contract

Our client is a leading global biopharmaceutical company focused on innovative healthcare solutions, improving patient outcomes through science and innovation.

Primary Function:

  • We are seeking a detail-oriented, organized and proactive Administrator to provide comprehensive support to regional functional teams.
  • Ensuring smooth day-to-day operations by managing a wide range of administrative, travel, event, and coordination activities.
  • Experience in travel management, visa knowledge for various nationalities, purchase order (PO) administration, and event coordination

Key Responsibilities:

  • Provide administrative support to regional functional teams, including scheduling meetings and managing calendars.
  • Coordinate and manage business travel arrangements, including flights, accommodation, ground transportation, and itineraries
  • Handle visa applications and travel documentation, ensuring compliance with country-specific immigration and entry requirements for various nationalities
  • Support the planning and execution of internal meetings, events, and offsite activities, including logistics, budget tracking, and vendor coordination.
  • Manage purchase order (PO) creation and tracking, invoice processing and related administrative activities.
  • Collaborate with other administrative team members to ensure consistent support coverage and knowledge sharing.
  • Provide backup support for office management activities, including reception coverage when required.

Requirements:

  • Successful completion of Higher School certificate or Diploma in Business Administration or Secretarial studies
  • Minimum 5 years’ experience within similar administrative roles
  • Experience within the pharmaceutical industry and / or within a sales and marketing environment
  • Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and Powerpoint.
  • Experience in SAP, Ariba, Concur, or other procurement and expense management systems
