An overview of your responsibilities:

XNRGY is seeking a highly organized and detail-oriented Sourcing Administrator to support our Strategic Sourcing team. This role provides administrative support for supplier management, contracts, reporting, and sourcing documentation while helping ensure the efficient execution of sourcing activities. The ideal candidate thrives in a fast-paced manufacturing environment and enjoys working across multiple priorities.

Key responsibilities:

Document Control & Contract Management

Sourcing & RFQ Support

  • Maintain accurate supplier records, onboarding documentation, and master supplier files.

  • Manage sourcing documentation and robust document control processes.

  • Proactively track supplier agreements, contract expiration dates, and upcoming renewals.

  • Assist with internal and external audit support and strict adherence to document retention requirements.

  • Facilitate the distribution of Requests for Quote (RFQs) and maintain precise quotation and supplier correspondence records.

  • Maintain and update department sourcing trackers, project pipelines, and records.

Data, Reporting & Analytics

Administrative & Meeting Coordination

  • Generate regular and ad-hoc reports from ERP and other business systems.

  • Prepare department presentations, sourcing KPIs, and performance dashboards for leadership.

  • Coordinate and schedule internal and external supplier meetings, prepare materials, and record detailed meeting minutes.

  • Support the continuous improvement of sourcing processes and administrative workflows.

What you'll need, among other things!

Education

  • Associate or bachelor's degree in Business, Supply Chain, or a related field preferred (equivalent experience considered).

Experience

  • 2+ years of administrative experience, specifically supporting purchasing, procurement, sourcing, or supply chain functions.

  • Experience working within a manufacturing environment is highly preferred

Technical Skills

  • Proficiency in Microsoft Office Suite — advanced Excel skills (VLOOKUPs, Pivot Tables) are a major plus, along with Word, PowerPoint, and Outlook.

  • Experience with ERP systems (e.g., SAP, Oracle, NetSuite) and/or e-Sourcing / Contract Management platforms is preferred.

  • Strong organizational, time management, and proactive follow-up skills.

  • High level of accuracy, attention to detail, and data integrity.

  • Ability to communicate effectively with internal stakeholders and external global suppliers.
