Spare Parts Coordinator

Key Responsibilities

Spare Parts & Inventory Management

  • Manage daily spare parts enquiries, quotations, orders, and deliveries.
  • Monitor inventory levels and maintain optimum stock availability.
  • Coordinate stock replenishment and purchasing activities with approved suppliers.
  • Perform stock checks, cycle counts, and inventory reconciliations.
  • Maintain accurate records of stock movements and inventory transactions.

Procurement & Vendor Coordination

  • Source and procure spare parts for marine navigation and communication equipment.
  • Liaise with local and overseas suppliers regarding pricing, lead times, and delivery schedules.
  • Negotiate costs and delivery terms where appropriate.
  • Follow up on purchase orders and ensure timely delivery of parts.

Sales & Customer Support

  • Prepare quotations for spare parts enquiries from customers and vessels.
  • Process customer orders and coordinate shipment arrangements.
  • Provide updates to customers regarding order status, lead times, and delivery schedules.
  • Support service teams by ensuring required parts are available for onboard jobs.

Logistics & Documentation

  • Coordinate local and international shipments of spare parts.
  • Prepare shipping documents, delivery orders, packing lists, and invoices.
  • Liaise with freight forwarders, couriers, and logistics providers.
  • Ensure compliance with company procedures and customer requirements.

Administrative Duties

  • Maintain supplier and customer databases.
  • Prepare inventory and procurement reports.
  • Assist in budgeting and forecasting spare parts requirements.
  • Support other operational and administrative tasks as assigned.

Requirements

  • Diploma or Degree in Supply Chain Management, Logistics, Maritime Studies, Engineering, or a related field.
  • Minimum 2 years of experience in spare parts coordination, procurement, inventory control, or marine operations.
  • Experience within the marine, offshore, maritime, or technical engineering industry is preferred.
  • Familiarity with marine navigation and communication equipment will be an advantage.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Experience with ERP or inventory management systems is preferred.
  • Strong organizational and multitasking abilities.
  • Good communication and interpersonal skills.
  • Ability to work independently and under pressure in a fast-paced environment.

Experience dealing with spare parts for:

  • GMDSS equipment
  • Marine radar systems
  • ECDIS systems
  • GPS and GNSS equipment
  • Satellite communication systems
  • VHF, MF/HF, and UHF communication equipment
  • AIS systems
  • Bridge navigation equipment
