GENERAL PURPOSE OF JOB:
The Special Projects Assistant, under the direction of the Director Peri anesthesia, performs various administrative duties to support the department. Acts as support staff to gather information, order supplies, manage Kronos, problem-solve and resolve non-clinical needs, coordinate specialty projects
with internal and external stakeholders, assist with non-clinical processes and workflows across multiple clinic locations, maintains files and meeting minutes and provide secretarial support to all clinical and non-clinical staff.

- • Performs various administrative duties for the Peri anesthesia Department.
- • Coordinates location, catering, presentation materials, audio-visual support, and notification of meetings, appointments, conferences, telephone calls, etc.
- • Records/transcribes meeting minutes from various meetings.
- • Coordinates and conducts interviews for non-clinical staff interviewing within the department.
- • Answers/screens incoming telephone calls and routes call to appropriate individual or take messages as appropriate.
- • Attends and participates in Departmental and Hospital Meetings as required.
- • Maintains departmental meeting calendar.
- • Opens, sorts, and distributes incoming mail with the Peri anesthesia Department. Utilizes couriers, the U.S. Mail, and delivery services as needed.
- • Greets visitors, ascertains nature of business, and escorts visitors to appropriate person/area.
- Orders office supplies and equipment requests using the authorized online ordering system.
• Assist with new hire orientation (i.e., orientation packet, office supplies, desk assignment, department key, etc.).
• Assist with managing and tracking employee time by utilizing the Kronos system.
• Provides support and coordination for internal and external continuing education activities, including but not limited to registration, travel, material preparation, set-up, etc.
• Assist or initiate the coordination of other special events.
• Assists with non-clinical processes and workflows across multiple clinic locations (i.e., I.T. support, supply needs, etc.)
• Organizes and delegates assignments/projects within the department to other support staff members.
• Service as a point of contact for external organizations/departments doing business with Driscoll Children’s Hospital Peri anesthesia Department.
• Will occasionally drive for Driscoll Children’s Hospital business.
EDUCATION AND/OR EXPERIENCE:
- Associate’s degree (A. A.) or equivalent from a two-year college or technical school; or one-year
- related experience and/or training; or equivalent combination of education and experience.
