Sr. Administrative Assistant
Compensation:


The Sr Administrative Assistant job is a critical function in supporting and meeting the needs of the Operations department. By handling a variety of tasks to ensure that all interactions between the organization and others are smooth and productive, this role will provide support in general office tasks, scheduling, meeting organization, travel arrangements and ad-hoc project management. A successful Senior Administrative Associate will be professional, polite, attentive and accurate, always being prepared and responsive, willing to meet challenges directly with excellent communication and time management skills.
Essential Functions:
Responsibilities including, but not limited to:
Leadership and Coordination:
Work interdepartmentally with various teams and leadership
Approachable/friendly/communicates professionally
Lead the Spirit Committee/Outreach group for the Clinical Lab and collaborate with other department Admins for Spirit Committee events
Host Monthly Town halls, Quarterly All Hands & Weekly Sync
Plan lab celebration events
Assist with planning/coordinating/scheduling and answering event questions
Coordinating meeting preparation, including agenda development, minute taking, and timely distribution to stakeholders
Coordinating internal and external lab tours
Manage calendars for Lab VPs scheduling/moving conflicts/working with others to organize
Routine skeleton decks for re-occurring meetings and following up to make sure they're done
Coordinating with outside vendors and consultants (IT support, printers, and suppliers)
Administrative Support:
Distribution of KPI Metrics daily morning email
Order lunches for Monthly Town Halls, and other lunches as needed (day and evening shifts)-communicate what was ordered through calendar update, and Digital Board
Order supplies for all of the lab
Approve time-off requests in UKG for VPs
Approve expense reports in Concur for VPs
Setup and input purchase requisitions in SAP
Submit VP expenses in Concur
Book and coordinate travel as needed for events and/or VPs
Maintain distribution lists to ensure they are current in email and Teams
Recognition Program Support:
Tremendous Gift Cards, All Star Awards, EOM, and EOQ, awards for Lab and Diagnostics
Ordering and distribution of awards and certificates
Update Employee of the Month/Quarter boards with photos
Onboarding Support:
Sending SLT and Lab Managers new hires with start date
Coordinate with EH&S to have safety tours scheduled/executed for new hires
Employee name tags for lab coat hangars
Assisting with setup, organization, and maintenance of office spaces and systems
Providing logistical support for office improvement and organizational projects
Qualifications
3+ years of relevant administration experience
Excellent communication and interpersonal skills
Strong Microsoft Office skills (Excel, PowerPoint, Outlook)
Event planning/ execution experience a plus
Preferred:
Experience with SAP preferred
Some college required; Bachelor's degree strongly preferred
