Talent Acquisition Operations Specialist

Responsibilities


65% Systems & Process Administration:

• Manage ATS user account setup, troubleshoot technical issues, respond to process queries, and escalate issues as needed.

• Serve as primary contact for other recruitment systems for user setup/deactivation; resolve issues and introduce process enhancements: Kenexa/BrassRing, Workday, BroadBean, Candex, HireRight etc.

• Maintain communications, offer templates, lists in the ATS and related systems.

• Maintain US new hire electronic paperwork packets, update policies and paperwork (including year-end updates); and communicate changes to the team.

• Serve as first point of contact for TA team members in managing adherence to process and SLAs and resolving issues.

• In partnership with Total Rewards Operations, troubleshoot and resolve equity grant issues.

• Serve as LinkedIn Administrator to manage Recruiter Seat ownership and extract Recruiter Usage metrics.


10% Recruitment Process Management & Training:

• In partnership with the TA Ops Specialist, responsible for creating, maintaining and updating recruitment tools, documents, policies and procedures.

• Utilize SharePoint technology for document creation, updates and communication.

• Communicate and train TA team members on process updates and enhancements.

• Manage TA team onboarding / off-boarding (IT forms, systems account setup and access requests); including mass Req team updates.


10% Recruitment Program Support:

• Conduct system testing in support of configuration enhancements and new implementations.

• With TA Ops Specialist, participate on project teams within and across HR groups in support of special projects and cross-functional initiatives.

• Work collaboratively with recruitment team to have Shire representation at staffing programs (job fairs, networking events).

• Manage recruitment media and marketing materials.


5% Vendor Management:

• Agency MSA Management - Create Agency Master Services Agreements (MSAs) using approved templates, route for sign-offs, field vendor questions.

• Agency code creation and user account setup.


5% Reporting/Compliance:

• Prepare recruiting metrics and reports as needed.

• Work with TA Ops Specialist and HR Data Management team to resolve data issues.

• Ensure compliance with all applicable laws.

• Educate Recruitment team on how to manage e-vacancy files.

• In partnership with TA Ops Specialist, support Affirmative Action Plan process and compliance reporting as appropriate.


Education and Experience Requirements:

• Minimum of 2 years of relevant recruitment and HR systems experience.

• Working knowledge of Recruitment systems (Applicant Tracking Systems) and web based recruiting tools.

• Experience with IBM Kenexa 2xBrassRing highly desirable.

• Knowledge of employment laws (federal and state) policies and practices.

• Proficiency with Microsoft Office, including Word, Excel, PowerPoint and Visio
