Role Overview

As the Team Assistant (Communications, Government Affairs & Marketing), you will serve as the operational backbone for our global Communications, Government Affairs, Public Policy, and Marketing teams.

This pivotal role ensures efficient coordination of internal processes, executive operations, international stakeholder engagement, and cross-functional collaboration across Europe, the United States, and additional international markets. By adeptly managing calendars, travel, documentation, budgets, and workflows, you will enable the team to focus on strategic objectives and ensure seamless execution of all administrative and organizational tasks.

You will take on a crucial enabling function across a wide range of impactful activities—including political engagement, investor relations, international conferences, executive communications, branding, media operations, and high-level stakeholder coordination. This position requires exceptional organizational skills, reliability, discretion, and the ability to excel in a dynamic international setting interacting with governments, industry leaders, investors, research institutions, and global partners.

This is an empowered, hands-on support role where you will be a trusted operational partner, ensuring that one of our most externally visible teams operates with excellence and professionalism.

Key Responsibilities

Executive Support & Team Coordination

  • Provide comprehensive operational and administrative support to global teams

  • Work closely with the Executive Assistant to the Chief Communications & Government Affairs Officer

  • Manage complex international calendars and coordinate meetings across multiple time zones

  • Facilitate internal workflows and foster collaboration across European, U.S., and global teams

  • Act as a communication hub between leadership, staff, external stakeholders, and service providers

  • Proactively identify scheduling conflicts and address preparation or follow-up needs

International Travel & Logistics Management

  • Oversee all aspects of international travel, including flights, hotels, visas, transfers, itineraries, and conference logistics

  • Support executive participation in political meetings, investor events, trade fairs, and summits

  • Prepare detailed briefings and logistical plans for executive travel

  • Organize logistics for visits from politicians, investors, delegations, industrial partners, and media

Government Affairs & Stakeholder Support

  • Organize political roundtables, parliamentary visits, stakeholder workshops, diplomatic events, and strategic government engagements

  • Maintain up-to-date stakeholder contact lists and oversee briefings, invitations, actions, and documentation

  • Ensure all political and regulatory interactions uphold strict confidentiality and professional standards

Communications & Marketing Operations

  • Coordinate operational elements of communication campaigns, media activities, social media, branding, and marketing initiatives

  • Liaise with external vendors, including PR agencies, graphic designers, photographers, and video teams

  • Support in preparing and formatting presentations, policy papers, press releases, briefing documents, and speeches for quality and consistency

  • Oversee content approval, version control, and document consistency

Event & Conference Management

  • Assist in planning and executing internal and external events, conferences, summits, trade fairs, and workshops

  • Coordinate event logistics, including registrations, invitations, travel, accommodation, catering, venues, and on-site support

  • Prepare agendas, briefing materials, coordinate speakers, and manage post-event documentation

  • Represent Focused Energy with professionalism at high-profile industry and political events

Budget, Procurement & Administrative Support

  • Track and manage budgets, expenses, purchase orders, and finance workflows

  • Coordinate procurement and manage vendor relationships

  • Prepare financial reports, expense summaries, and documentation for leadership

  • Support contract management, document filing, and administrative compliance

HR, Onboarding & Team Support

  • Coordinate onboarding for new team members, including workspace setup, access, and introductions

  • Support recruiting coordination, including interview scheduling, candidate communication, and HR workflows

  • Maintain team structures, contact databases, org charts, and routine communications

  • Foster a cooperative, organized, and high-performing team culture

Process & Organizational Optimization

  • Develop and maintain templates and workflows to promote efficiency and transparency

  • Support digital collaboration and project management solutions

  • Identify bottlenecks and recommend process improvements

  • Ensure best practices in document management and administrative standards

Profile / Requirements

  • 3–6 years of experience as a Team Assistant, Executive Assistant, Project Coordinator, or in an Operations Support role within an international organization

  • Experience in technology, energy, communications, public affairs, consulting, government, or fast-paced startups is preferred

  • Outstanding organizational, coordination, and multitasking abilities with keen attention to detail—even under pressure

  • High degree of professionalism, reliability, and discretion; capable of handling sensitive and confidential information responsibly

  • Strong communication and interpersonal skills; confident in engaging with executives, policymakers, investors, media, and global stakeholders

  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams) and Google Workspace

  • Proven experience in travel coordination, event management, budget tracking, and vendor management is strongly preferred

  • Ability to work independently, proactively, and calmly in a dynamic, international environment

  • Fluency in English and German (written and spoken) is required; additional languages are highly valued
