Third-Party Carrier Coordinator

Summary:

Certarus partners with several third-party transportation carriers performing transportation services for Certarus across Canada and the USA. The position of Third-Party Carrier Coordinator will be responsible for coordinating and supporting functions related to the sourcing of third-party carriers as well as ongoing support management of these carriers.

The successful candidate should be one that is confident interacting with all levels, developing trusted relationships and working in a fast-paced environment. This position reports directly to the Third-Party Carrier Manager and is based out of the Calgary corporate office.

Schedule:

  • This position holds normal business hours, with moderate travel expected.
  • We support a hybrid work environment consisting of flexible remote and in-person
    collaboration at our Calgary or Houston offices.

Duties & Responsibilities:

  • Organize and execute daily operations of the Third-Party Carrier Management program.
  • Support the Lead in overseeing carrier fulfillment of program expectations and service standards.
  • Serve as a primary operational contact for third-party carriers and drivers, addressing day to-day questions and issues.
  • Conduct third-party carrier prequalification to assess alignment with Certarus core values, safety expectations, and operational needs.
  • Execute third-party driver onboarding and track completion of all required actions and documentation.
  • Assist in sourcing suitable third-party carriers across Canada and the United States through research and initial outreach.
  • Support the Lead and Manager with incident investigations and implementation of corrective actions.
  • Assist in designing and rolling out third-party carrier programs, procedures, and process improvements.
  • Participate in Operations and HSE meetings with carriers and drivers to support alignment and communication.
  • Build and maintain strong carrier relationships through regular, open communication.
  • Conduct periodic site visits to observe operations and support audits of carrier drivers and facilities.
  • Collaborate with Accounts Payable and carrier billing teams to resolve invoicing issues and support timely payments.
  • Support the Lead by collecting, compiling, and reporting third-party carrier performance metrics.
  • Coordinate LTL/FTL equipment and material moves prior to hand off to Logistics.
  • Prepare documents, spreadsheets, presentations, and other administrative materials as needed.
  • Perform basic compliance checks on carrier documentation (licenses, permits, etc.) to support regulatory adherence.
  • Use transportation management systems (TMS/FSM) to track daily activity and maintain accurate records.
  • Escalate unresolved carrier or operational issues to the Lead for further action.
  • Contribute to special projects and assigned initiatives as required.

Requirements:

  • Post-secondary education in Business Administration, or equivalent.
  • Minimum 3 years’ experience in a transportation function.
  • High attention to detail and highly organized.
  • Ability to travel across Canada and the United States.
  • Safety-focused with a strong knowledge of truck transportation safety and compliance.
  • Passionate about building and maintaining relationships with key business partners.
  • Proficient with a variety of computer applications including Microsoft Office suite.
  • Self-motivated and able to work without immediate day-to-day supervision.
  • Previous experience in a transportation/logistics, procurement, vendor management, or contracts management considered an asset.
