JOB SUMMARY

Reporting to the Travel Supervisor, the successful candidate is responsible for coordinating, preparing, and booking travel arrangements for approved individuals across IRC departments and subsidiaries. This role supports a high-volume, service-oriented environment, working closely with internal clients to ensure timely, accurate, and cost-effective travel solutions. The position is open to applicants from all ISR communities, with priority given to candidates based in Inuvik. The role may support remote coordination of travel requests and requires the ability to work effectively with clients, vendors, and systems while working remotely when operationally required.



QUALIFICATIONS

Applicants must be/have:

  • Grade 12 diploma or equivalent. Previous administrative experience, preferably in a travel coordination, finance, or customer service environment.
  • Proficiency with Microsoft Office applications, particularly Outlook and Excel.
  • Experience working with online booking tools and corporate travel websites.
  • The ability to work occasional on-call or after-hours shifts as required.

Preference may be given to candidates with the following:

  • Experience coordinating or booking travel arrangements, including flights, accommodations, and ground transportation, is considered an asset.
  • Knowledge of airline guidelines, travel policies, and compliance requirements is an asset.
  • Experience supporting clients and managing bookings while working remotely is considered an asset.

KEY RESPONSIBILITIES

  • Prepare, coordinate, and book flight and accommodation arrangements using direct booking websites while applying corporate codes and negotiated rates.
  • Respond promptly and professionally to travel requests received via email or phone.
  • Create clear, accurate, and well-organized travel itineraries.
  • Organize and process travel-related expense documentation, including Excel expense statements and receipt storage in SharePoint.
  • Ensure all travel arrangements comply with IRC travel policies and airline regulations.
  • Coordinate travel requests and maintain service standards while working remotely when operationally required.
  • Provide occasional after-hours or on-call support for urgent or time-sensitive travel needs.
