Voice-Enabled Onboarding Specialist

Job Description:

We are looking for a highly organized and detail-oriented Onboarding Coordinator to support the end-to-end onboarding process for National Accounts, Office of the President, and Vendor Neutral programs. In this role, you will play a key part in creating a seamless onboarding experience for new hires while ensuring compliance, accuracy, and exceptional stakeholder communication.

What You'll Do

As an Onboarding Coordinator, you will manage the onboarding journey from offer acceptance through completion, ensuring all requirements are met efficiently and accurately.

Key Responsibilities

· Manage the full onboarding lifecycle for candidates, including:

  • Drug screenings
  • Background checks
  • I-9 verification
  • Occupational health and medical testing
  • State and city compliance documentation

· Maintain accurate onboarding trackers, records, and reports

· Provide timely status updates to recruiters and internal stakeholders

· Communicate with candidates through phone, email, SMS, and Microsoft Teams

· Ensure onboarding documentation is complete, accurate, and compliant

· Manage multiple onboarding files simultaneously while meeting service-level expectations

· Coordinate system access requirements, including password and ID management

· Access and monitor onboarding tasks through SharePoint and internal platforms

· Support scheduling and coordination activities using Outlook and Microsoft Teams

· Maintain a professional presence in all internal and external communications and meetings

What We're Looking For

Technical Skills

Candidates will undergo a typing assessment as part of the hiring process.

Proficiency in:

  • Microsoft Word (document creation and editing)
  • Microsoft Excel (reports and trackers management)
  • SharePoint (work order and task management)
  • Outlook (email and calendar management)
  • Microsoft Teams (calls, virtual meetings, screen sharing, and collaboration)

Professional Competencies

· Strong organizational and time management skills

· Ability to manage an average of:

  • 50 active onboarding files
  • 25 new candidates weekly

· Excellent verbal and written communication skills

· Professional and confident communication style

· Ability to work independently and prioritize effectively

· Strong attention to detail and commitment to accuracy

· Ability to thrive in a fast-paced, high-volume environment

Qualifications

Required Experience

  • Minimum of 1 year call center (BPO) experience supporting US clients
  • Previous experience working night shift or graveyard schedules
  • Stable employment history with demonstrated reliability and commitment

Preferred Experience

Experience in any of the following areas is highly advantageous:

  • Virtual Assistant support
  • Onboarding coordination
  • Human Resources
  • Payroll administration
  • Benefits administration
  • Customer support
  • High-volume administrative operations

Work Setup

  • Initial work arrangement is 100% onsite at Ayala Avenue, Makati for a minimum of 90 days.
  • A hybrid work setup at Ayala Avenue, Makati or SM North Edsa may be considered based on consistent attendance, performance, and business requirements.
