As Workplace Ambassador at our main office in The Spire, you'll be the first point of contact for candidates, new hires, visitors, and colleagues, setting the tone for every interaction that follows. You'll combine hands-on front-of-house service with light leadership of the reception function, making sure our workplace runs smoothly, safely, and warmly every single day. It's a role for someone who takes pride in the details, stays composed when things get busy, and genuinely enjoys making people feel welcome. What You'll Do

  • Welcome and direct candidates, new hires, visitors, and the general public, and handle phone and email queries with a professional, friendly touch
  • Take the lead on day-to-day reception operations, including visitor and employee parking, taxi bookings, and meeting room reservations
  • Coordinate local events, travel arrangements, and hospitality in line with site procedures
  • Keep meeting rooms, public areas, and office facilities to a consistently high standard, including room set-ups and daily checks
  • Manage security-related processes: issuing ID and access badges, maintaining accurate records, and liaising with the site's managing agent and security team
  • Oversee the Facilities helpdesk, coordinating repairs, maintenance, and service providers, plus mail handling and office supplies
  • Support workplace experience initiatives by sharing ideas and helping implement best practices across the office
  • Ensure smooth continuity by preparing clear handovers and keeping seating plans and business updates current


What We're Looking For

  • A natural at customer service — someone who communicates confidently and warmly with people at every level, in fluent Polish and good English
  • Comfortable taking ownership and providing informal leadership within a reception or concierge-style team
  • Calm and resourceful under pressure, with strong problem-solving instincts
  • Highly organized, with a sharp eye for detail and the ability to juggle multiple priorities
  • Confident using MS Office and quick to pick up new systems and tools
  • A flexible, can-do mindset and genuine adaptability to changing daily demands
  • Strong situational awareness, especially around safety, security, and emergency procedures
  • Polished, professional presentation and a solid sense of business etiquette
