About the team
The Corporate Real Estate and Workplace team builds and runs the spaces and services that enable Zillow to do its best work. The Office Assistant serves as the face of the office and a key contributor to delivering a seamless, hospitality-driven workplace experience. As the first point of contact for employees, visitors, and vendors, this role ensures smooth front-of-house operations while supporting day-to-day workplace services.Working closely with the Workplace Manager, the individual in this role will help maintain a welcoming, organized, and efficient office environment that reflects Zillow’s high standards for service and employee experience. As Zillow continues to evolve its workplace strategy and transition into new leased spaces, this role will have opportunities to grow and adapt, supporting new processes, services, and ways of working.

About the role
You Will Get To
Execute day-to-day workplace operations: Ensure the office opens clean, safe, and ready; address issues quickly; maintain high standards across all spaces. Respond to all submitted support tickets via Zillow’s internal systems, providing direct support to employees and escalating support issues as required following established SOPs to centers of excellence.
Support the delivery of hospitality services: reception and visitor management, pantry supply management and coordination of meal services, office supply management, transportation coordination, building access/badging, new hire orientation, seating arrangements, etc.
Assist in coordinating small events, meetings, and onsite activities
Assist with Maintenance & Building Systems: Schedule, coordinate, and close out all planned/unplanned maintenance; help with MEP, HVAC, life-safety, and critical equipment; maintain accurate asset and chemical inventories; keep logs and permits current.
Vendor Coordination: act as point of contact for front-of-house vendors (reception, courier, pantry); assist in tracking service requests and ensuring timely resolution; escalate service issues to the Workplace Manager as needed
Drive onsite communication: Respond to basic employee and visitor inquiries and provide accurate information, support internal office communications when required
Manage facility incidents and emergencies through timely response, coordination, escalation, and resolution tracking.
Maintain compliance and workplace safety standards through regular inspections, audit support, and adherence to statutory protocols during night operations.
Provide facility and workplace support to night-shift employees by ensuring safety, hygiene, pantry, and operational assistance services.
Monitor and control facility assets, consumables, and critical spare inventory to ensure uninterrupted operations during emergencies.
Maintain accurate operational reporting, shift handovers, incident documentation, and MIS records for effective continuity and governance.
Manage employee ground transportation operations including cab fleet management, transport technology platforms, vendor coordination, route compliance, and safe, seamless employee mobility services across shifts.
Ensure adherence to female employee transportation safety protocols including escort compliance, trip monitoring, escalation management, and implementation of organizational safety standards during all shifts.
Provide general administrative support to the Workplace Manager and onsite team
Assist with special projects or workplace initiatives led by the Workplace Manager

Qualifications
Bachelor’s degree or equivalent experience.
3–6 years of experience in a front office, facility management, administrative, or customer service role.
Strong verbal and written communication skills in English, Hindi and local language.
Excellent interpersonal skills with a customer-first mindset.
Proficiency in full Google Suite including Sheets/Docs, Meeting platforms (i.e -Zoom), Slack, and presentation skills.
Strong organizational skills with attention to detail and ability to multitask.
Ability to work both independently and collaboratively in a fast-paced environment.
Professional appearance and demeanor suited for a front-facing role.
