The Role: Workplace Services Coordinator would ensure the efficient, high-quality delivery of workplace services across the ANZ region. This position supports the Real Estate & Workplace Services (REWS) team and Salesforce Tower employees by coordinating vendors and contractors, streamlining operational processes, and acting as a reliable point of coordination across service lines. Day-to-day, the role balances hands-on front desk coverage at the mailroom — acting as a visible, customer-facing presence for employees — with a strong focus on vendor and contractor coordination, systems administration across both JLL and Salesforce platforms, and cross-functional stakeholder support. It is office-based five days per week.

Duties include but are not limited to:

Mailroom Front Desk & Shipping Support

  • Provide front desk coverage at the mailroom, serving as the primary point of contact for employees collecting packages, lodging outbound shipments, or seeking assistance with courier and shipping queries.

  • Manage inbound package receipt, logging, and employee notification; track items held and follow up to ensure timely collection.

Vendor & Contractor Coordination

  • Serve as the primary point of contact for all workplace services vendors and contractors operating across ANZ sites, ensuring performance standards and contractual obligations are met.

  • Assist with vendor onboarding, compliance documentation, inductions, and site access coordination.

  • Monitor contractor activity on-site, track work orders and service delivery timelines, and escalate issues as required.

Systems Administration (JLL & Salesforce Platforms)

  • Administer and maintain workplace services data across JLL systems, including facilities management and work order platforms (e.g. JLL Corrigo, Integrated Facilities Management tools).

  • Manage REWS ticketing and Workplace Services queues across ANZ sites; ensure timely assignment, escalation, and closure of tickets.

  • Maintain and update internal information hubs including Google Sites, Quip documents, and Slack broadcast channels to ensure employees have access to accurate, current workplace information.

Stakeholder & Customer Service

  • Build trusted relationships with key Salesforce stakeholders and REWS functional teams including Facilities Management, Guest Services, Events, Culinary, and the Salesforce Innovation Center.

  • Work collaboratively with business partners across Marketing, PR, Internal Communications, and local ANZ contacts to support workplace services delivery.

Events & Space Support

  • Provide logistical support for workplace events including coordination of furniture setups, vendor access, and event-related tickets.

  • Track and report event highlights and statistics; ensure timely closure of event-related child tickets.

What you will bring:

  • Proven experience coordinating vendors, contractors, or service providers in a corporate environment.

  • Proficiency in JLL systems and platforms (e.g. Corrigo, IFM tools, JLL reporting systems) — highly desirable.

  • Proficiency in Salesforce platforms and tools including Google Suite, Slack, Quip, Tableau, and REWS ticketing systems.

  • Experience in document management and creation, including SOPs, process guides, and professional presentations.

  • Knowledge of corporate culture and employee engagement practices, ideally within a tech or hospitality-centric environment.
